EisnerAmper is looking for an Office Coordinator to join our Johns Creek office. This is an exciting opportunity for a highly organized, proactive individual who is committed to providing exceptional service to the firm.

The position is hybrid, with standard office hours of 8:30 a.m. to 5:30 p.m. The Office Coordinator is expected to work in the office three days per week and daily during busy season to support office and meal coordination needs.

What Work You Will be Responsible For:

Facilities & Office Upkeep

  • Coordinate recurring office cleanings with the cleaning service (weekly during busy season; bi-weekly otherwise).

  • Order cleaning supplies as needed and schedule semi-annual deep cleaning, including carpets at minimum and full-office cleaning as needed.

  • Submit and track building maintenance requests through the tenant portal.

  • Keep the copy/print room organized and stocked.

  • Maintain office equipment, including printers and copiers; coordinate service and manage toner and paper.

  • Serve as the primary liaison with building management and security.

  • Maintain office safety and emergency procedures and first-aid supplies.

  • Fulfill office work-order and special requests, including toner and copier issues.

Kitchen, Breakroom & Supplies

  • Place bulk food orders approximately every two weeks and put away deliveries.

  • Order office supplies through the firm vendor account, put away deliveries, track inventory, and monitor reorder points.

  • Restock the refrigerator, snacks, and coffee on an ongoing basis.

  • Clean out the refrigerator and check snack expiration dates bi-weekly.

  • Load and unload the dishwasher as needed.

  • Clean small kitchen appliances bi-weekly if not handled by the cleaning service, and refill hand soap as needed.

  • Clean the ice machine quarterly, purchasing cleaner and filters in advance.

  • Manage bottled-water service, monitor levels, and place orders through the vendor portal every one to two weeks.

  • Load, unload, distribute, and move office deliveries to designated areas as needed.

  • Organize storage closets and other stock-item areas.

Meals, Meetings & Events

  • Coordinate busy-season meals by building the schedule in the fall and ordering and picking up meals Monday through Thursday during busy season.

  • Set up virtual Teams trainings, including snacks or meals, as needed; firmwide sessions are coordinated separately.

  • Plan and coordinate staff parties and events, including monthly potlucks or birthday treats and events on the firm calendar.

  • Manage seasonal and holiday office decor, including purchasing, storage, and annual reuse.

  • Coordinate conference room scheduling and meeting setup, including reservations using Agilquest and general conference-room readiness.

  • Maintain a shared office calendar of events, holidays, and key deadlines.

  • Support office-wide events and serve as a go-to resource for office-related service and hospitality requests.

Culture, Celebrations & Community

  • Coordinate staff celebrations, including baby and wedding showers, promotion events, holiday/let-down parties, employee appreciation, national holidays, and other office-related treats; begin planning about one month ahead for smaller events and two or more months ahead for large events.

  • Organize firm community-service initiatives as determined by the committee.

  • Coordinate logistics for firm programs and initiatives, including EA Cares.

  • Support recruiting events and related logistics, including packing swag, maintaining and organizing swag inventory, printing handouts, and assembling favors; activity is heaviest in spring and fall.

  • Coordinate new-hire onboarding logistics, including workspace setup, welcome materials, first-day coordination, building key cards, and gym waivers.

Mail, Records & Front Office

  • Manage incoming and outgoing mail, mail/package preparation, sorting, scanning, and distribution; maintain access to postage and label printing.

  • Coordinate outgoing shipments and courier services, including FedEx and UPS deliveries.

  • Shred sensitive documents or coordinate the shredding service bi-weekly.

  • Provide notary services as needed.

  • Greet and direct visitors and clients and provide reception coverage as the front-desk point of contact.

  • Answer and route incoming calls and monitor the general firm inbox and voicemail.

  • Scan client workpapers and perform light clerical duties as needed.

  • Manage vendor relationships and service contracts for cleaning, water, supplies, and other office services.

  • Assist leadership with ad hoc administrative projects and expense/receipt tracking.

  • Ability to maintain and monitor office budgets in accordance with firm standards.

Basic Qualifications:
  • High School Diploma or equivalent; Associate degree preferred

  • 2+ years of administrative, office coordination, or office management experience

Preferred Qualifications:
  • Strong communication and organizational skills.

  • Proficient in Microsoft Office (Outlook, Word, and Excel).

  • Knowledge of office operations and facilities.

  • Vendor management and purchasing experience.

  • Proactive, dependable, and able to handle confidential information with discretion; ability to lift up to 40 lbs.

  • Active notary commission, or willingness to obtain one
