Responsibilities:
What You’ll Do
As the Office Manager, you’ll wear many hats, acting as the integrator who ensures parts of our shop and office are running like a well-oiled machine. Your responsibilities will include:
Scheduling & Production Coordination
Manage all scheduling for production, installation, and team assignments.
Proactively communicate schedules, resolve conflicts, and eliminate bottlenecks to maintain efficiency.
Monitor project progress and timelines, ensuring deadlines are consistently met.
Customer Interaction
Serve as the first point of contact for inbound calls and shop visits, delivering exceptional customer service.
Address client inquiries, provide updates on project statuses, and resolve any concerns with professionalism and care.
Build strong relationships with customers to foster trust and repeat business.
Team Management & Leadership
Oversee the daily operations of the shop, ensuring everyone stays aligned and focused on priorities.
Conduct regular check-ins with the team to provide guidance, feedback, and support.
Cultivate a positive, collaborative work environment that motivates the team to excel.
Administrative & Process Improvement
Some administrative duties.
Create, implement, and refine systems and processes that streamline operations and enhance productivity.
Work closely with the visionary leader to align operational goals with company objectives.
Qualifications:
Experience & Skills
3+ years of experience in operations, management, or a similar role, preferably in a related industry (vehicle wraps, manufacturing, printing, graphic design, or print production).
A proactive problem-solving mindset with a knack for identifying inefficiencies and creating solutions.
Strong organizational skills with the ability to juggle multiple schedules and priorities.
Excellent verbal and written communication skills, with confidence in customer-facing situations.
Leadership capabilities to inspire, manage, and hold a team accountable.
Tech-savvy, with experience using scheduling or project management tools.
