A Glimpse of the Job

The Administrative Associate IV is responsible for assigning work requests to the appropriate staff member or student worker in an expeditious manner. The Administrative Associate IV will also be responsible for answering the general Sustainable Transportation line and acting as the liaison between Sustainable Transportation and UPD with regards to information requests.

Essential Duties/Tasks

Manage Ticket Request System

  • Performs intake and assignment of work requests as they flow in via Sustainable Transportation ticketing system.
  • Ensures tickets are assigned in an expeditious manner and service requests are fulfilled.
  • Curates tickets to ensure they are addressed and closed.

Manage Office Phone Line

  • Answers phone calls, takes messages, relays information and provides assistance following departmental guidelines.
  • Ensures callers or messages are communicated to the right individuals in a timely manner.

UPD Dispatch Liaison

  • Contacts UPD when electric micromobility is impounded to provide detailed information of the devices in the event the device is reported stolen.

Other Duties

  • Performs other duties as assigned.

Required Education and Experience

  • High school graduation or any equivalent combination of education and experience.
  • Four years of experience in administrative, clerical, ticket management, or general office work.

Preferred Qualifications

  • Bachelor's degree.
  • Ticket system management, and administrative experience.
  • Working knowledge of the university layout and building locations/identifiers.
  • Working knowledge of University SAP 24.01.99.M0.01 - Use of Personal Electric Vehicles and other Wheeled Forms of Transportation and Transportation Services micromobility regulations.
  • Must have a valid driver's license to operate motor vehicles and a good driving record or must have the ability to obtain State of Texas class "C" vehicle operator's license within 30 days of employment.

Knowledge, Skills, and Abilities

  • Knowledge of types of micromobility.
  • Working knowledge of spreadsheet and word processing software programs.
  • Keyboarding skills.
  • Ability to identify work priorities.
  • Good organization and time management skills.
  • Adept at written, oral, and interpersonal communication.
  • Customer-service oriented.
  • Ability to multi-task and work cooperatively with others.
