Job description

Position Summary

We are seeking an experienced and dependable Operations Supervisor to oversee all day-to-day activities of our Meals on Wheels program. This role requires someone who understands meal delivery operations from beginning to end, including ordering, food production, inventory control, logistics, routing, staff coordination, equipment oversight and client management.

The ideal candidate can keep the entire operation running smoothly, maintain consistent communication with staff, handle problems the moment they arise and take on ad hoc tasks whenever needed. This is a hands-on role that requires flexibility, ownership and strong organizational skills.

Responsibilities

Operations and Food Production

  • Oversee all daily operations, including ordering, receiving, food prep, packing and dispatch

  • Ensure accurate menu execution, including menu cycles, special diets, substitutions and daily meal counts

  • Maintain strict inventory practices using FIFO rotation, proper storage and waste reduction

  • Track usage and costs to prevent over-ordering and maintain cost control

  • Ensure compliance with food safety guidelines, sanitation requirements and temperature holding standards

  • Coordinate with kitchen staff to keep production running smoothly and on schedule

Logistics, Routing and Driver Coordination

  • Create and adjust daily delivery routes to ensure accuracy and efficiency

  • Schedule drivers, manage call-offs and maintain coverage for all routes

  • Monitor route timing, traffic issues, late deliveries and client concerns

  • Communicate with drivers throughout the day to ensure smooth operations and quick resolution of issues

  • Support route changes and emergency deliveries when needed

Vehicle and Equipment Oversight

  • Maintain up-to-date vehicle records, including mileage logs, maintenance schedules, emissions, repairs and registration

  • Respond to urgent issues such as breakdowns, flat tires or equipment failures

  • Ensure operational equipment such as hot boxes, coolers, refrigerators, scales, packing tools and delivery containers are in proper working condition

Client and Administrative Management

  • Handle client intake, changes, cancellations and updates to daily meal counts

  • Maintain proper documentation, forms, logs and reports

  • Address client concerns and escalate safety or wellness issues when necessary

  • Keep all administrative systems organized and updated for smooth daily function

Ad Hoc and Cross-Department Support

  • Step in wherever needed, including packing, driving, calling clients or resolving production shortages

  • Troubleshoot operational problems quickly and independently

  • Support any unexpected task that comes up to keep daily operations on track

  • Maintain spreadsheets, scheduling systems, delivery logs and routing software

Staff Coordination and Workflow Support

  • Maintain communication with kitchen staff, packers and drivers to ensure consistent workflow

  • Assist in balancing staff responsibilities and keeping all departments aligned

  • Ensure staff follow operational procedures and keep the facility running smoothly

  • Help maintain a positive, organized and efficient work environment

Required Experience

  • Experience in Meals on Wheels, senior meal programs or similar high-volume food and delivery operations

  • Strong knowledge of inventory control, cost management and vendor ordering

  • Background in food service production or kitchen operations

  • Experience building routes and coordinating drivers

  • Ability to supervise daily workflow and maintain smooth operations across multiple departments

  • Proficiency with spreadsheets, delivery software, scheduling tools and general operational systems

  • Valid driver's license and reliable transportation

  • Strong organizational, communication and problem-solving skills

  • Ability to multitask and handle fast-paced, time-sensitive responsibilities

Preferred Skills

  • Experience with menu planning or production scheduling
