Job Summary

 

The Senior ICS Fuel Inventory Control Specialist is a key assurance role responsible for overseeing fuel inventory accounting processes across Swissport’s Maintenance & Operations (M&O) and Intoplane fueling locations. This role ensures compliance with industry standards, including A4A Spec 123, and drives consistency, accuracy, and timeliness in fuel inventory accounting and billing processes.

The position plays a critical role in identifying and investigating fuel inventory variances, strengthening internal controls, and ensuring that all stations complete billing within 48 hours of month-end. The Specialist partners closely with operational and finance teams to promote adherence to corporate policies, enhance control effectiveness, and support continuous improvement initiatives across the region.

The payrate for this position is $70,000 - $85,000/yr

 

Key Responsibilities:

  • Establish and maintain a governance framework to monitor and enforce compliance with fuel accounting policies, procedures, and operational standards.
  • Ensure adherence to industry regulations and standards (e.g., A4A Spec 123) and internal control requirements.
  • Monitor fuel inventory balances and investigate variances across all fuel products, ensuring timely resolution and escalation where required.
  • Ensure all stations complete accurate and timely billing within 48 hours of month-end.
  • Deliver training and guidance to local personnel on fuel inventory management, including maintaining positive inventory positions and reconciling into-plane fueling transactions.
  • Support the NOAM Internal Controls System (ICS) program in alignment with Group initiatives, ensuring controls are effectively designed and operating.
  • Identify control gaps and partner with business stakeholders to implement sustainable remediation actions.
  • Support internal and external audit activities, including preparation of documentation, walkthroughs, and follow-up on findings.
  • Drive continuous improvement in fuel accounting processes, data quality, and control efficiency.

 

Qualifications and Competencies

  • 5 years’ experience in audit / internal controls, including fuel inventory and accounting experience (aviation industry preferred).
  • Knowledge of Varec Fuels Manger, QT, FuelMaster and FleetConnect preferred.
  • Working understanding of into-plane operations and Fuel Facility logistics strongly preferred.
  • Demonstrated ability to operate effectively in a matrixed environment, with strong collaboration and stakeholder management skills.
  • Strong analytical, investigative, and problem-solving capabilities.
  • Proven experience enhancing internal control frameworks and driving operational efficiency.
  • Excellent written and verbal communication skills.
  • The position will require travel, up to 35% of the time.
