Position Summary

As a Part-time Property Care Coordinator, you will be responsible for coordinating maintenance logistics to ensure every guest arrives at a well-maintained, guest-ready property. This role is primarily desk-based and involves problem-solving with guests over phone, text, and email, dispatching contractors, managing work orders, and following issues through to resolution.

You will act as the primary maintenance contact for an assigned area of approximately 80 properties, working closely with the home office team, vendors, and occasionally visiting properties for quality control inspections.

Key Responsibilities

Maintenance Coordination & Issue Resolution

  • Serve as the primary maintenance point of contact for an assigned property area

  • Troubleshoot maintenance issues with guests via phone, text, email, and platform messaging

  • Create, prioritize, manage, and close maintenance work orders with a focus on safety and guest experience

Vendor & Contractor Management

  • Obtain quotes and coordinate contractors and service providers

  • Follow up with vendors, contractors, and property owners as needed

  • Build and maintain strong working relationships with local vendors

Documentation & Financial Tracking

  • Document work orders clearly with detailed notes, dates, and times

  • Track completed invoices for Accounts Payable and ensure work orders are closed accurately

Property Oversight & Team Collaboration

  • Coordinate a wide range of services (plumbing, HVAC, electrical, appliances, landscaping, snow removal, pest control, seasonal openings/closings)

  • Perform lay-person property inspections and communicate findings with the cleaning coordinator

  • Work cross-departmentally with maintenance, guest services, and owner services teams

Required Qualifications
  • Valid driver’s license and ability to travel both locally, and across the State of Michigan, using a company vehicle, with about 2-6 overnight stays/year.

  • Strong verbal communication and problem-solving skills

  • Ability to prioritize work orders based on safety and guest needs

  • Lives in Michigan or a bordering state

  • Homeownership experience preferred (past or present)

  • Quick learner with above-average computer skills

  • Excellent written communication and documentation skills

  • Ability to work in an ever-changing environment while maintaining high service standards

  • Basic handyman knowledge or the ability to guide guests using research tools (Google, YouTube, TikTok)

Compensation, Benefits, & Schedule

Rate: $18–$22/hour
