Job Summary:
Come join our team in the Office of Admissions and Recruitment within the Division of Enrollment Management at UW-Madison! We are admissions professionals dedicated to recruiting, admitting, and enrolling the next generation of UW-Madison undergraduate students to meet the University's enrollment objectives.
The Office of Admissions and Recruitment (OAR) is a high-volume, mission-driven professional undergraduate admissions office. Our Admissions Counselors serve our prospective first-year, international, and transfer students from prospective students to enrollment.
OAR is inviting applications for an Admissions Counselor for Transfer Case Management and for an Admissions Counselor for First-Year Domestic students. The person in the Transfer Case Management role provides processing support and quality customer service to our growing number of undergraduate applications from domestic and international transfer students. Attention to detail, the ability to communicate clearly, and collaboration skills will be essential for success in both Admissions Counselor roles. These roles will participate in the holistic application review of a robust and talented applicant pool of transfer/first-year domestic students, and will provide support across teams for training and process improvements. Familiarity with the college admissions cycle will be beneficial for both roles, and knowledge of international educational systems will be beneficial for the Transfer Case Management role.
Key Functions/Tasks of the Admissions Counselor for Transfer Case Management include:
  • Conducts holistic application review for transfer applicants; may include review of international applicants
  • Learns and communicates undergraduate admissions policies; responds to questions via email, phone, in-person, or during virtual interactions with students, counselors, and guests
  • Participates in admissions processes and committees, as assigned
  • Participates in on- and off-campus recruitment travel and events, as needed
  • Manages e-mail cases in Salesforce from students, both prospective and applicants, in the Transfer queue. Escalates cases as needed
  • Understands office document workflow to facilitate appropriate routing of application materials, grade reports and transcripts, test scores, messages, and other application supporting materials
  • Trains and serves as a resource for Operations and Transfer teams as needed

Key Functions/Tasks of the Admissions Counselor (First-Year Domestic) include:
  • Conducts holistic application review for first-year domestic applicants
  • Learns and communicates undergraduate admissions policies; responds to questions via email, phone, in-person, or during virtual interactions with students, counselors, and guests
  • Presents information about the University and UW-Madison application process to prospective students, families, and other stakeholders
  • Reviews applicants from your assigned territory as well as other regions as assigned
  • Participates in admissions processes and committees, as assigned
  • Participates in on- and off-campus recruitment travel and events, as needed

The Admissions Counselor for Transfer Case Management is a Madison-based position with activities performed in-person, onsite, at a designated campus work location (60% in person). Some work may be performed remotely, at an offsite, non-campus work location.
The Admissions Counselor (First-Year Domestic) is a Madison-based position with some activities performed in-person, onsite, at a designated campus work location (40-60%). Some work may be performed remotely, at an offsite, non-campus work location.
Travel is required for the Admissions Counselor for First-Year Domestic. The Admissions Counselor for Transfer Case Management may also involve travel. Incumbents must be able to meet the required criteria to become a UW Authorized Driver which allows employees to drive for business purposes.
Key Job Responsibilities:
  • 10% Engages in extensive outreach and recruitment events, representing the university to prospective students
  • 10% Counsels prospective and admitted students on educational planning and career opportunities
  • 5% Demonstrates commitment to the University's mission statement, particularly to be sensitive and responsive to those groups which have been underserved by higher education. Participation in related learning activities is expected
  • 10% Delivers directed admissions program messaging to internal and external audiences
  • 5% Evaluates program effectiveness and provides recommendations for improvement
  • 50% Reviews, evaluates, and responds to student applications according to established policies and procedures
  • 5% Schedules logistics and secures resources for events to promote the Institution

Compensation:
The minimum salary is $52,000 for both Admissions Counselors. The title and salary are determined by the experience and qualifications of the finalists.
This position offers a comprehensive benefits package, including generous paid time off, competitively priced health/dental/vision/life insurance, tax-advantaged savings accounts, and participation in the nationally recognized Wisconsin Retirement System (WRS) pension fund.
Required Qualifications:
Required for both Admissions Counselor for Transfer Case Management and Admissions Counselor (First-Year Domestic):
  • Proven experience working with individuals of various identities and backgrounds
  • Strong administrative skills that are transferable to application review and project management
  • Demonstrated attention to detail, time management, and organizational skills
  • Capability to utilize technology including office software applications, database systems, CRM systems, etc.
  • Ability to work independently in a high-volume office
  • Strong oral and written communication skills including significant public speaking experience and excellent customer service skills
  • Evening and weekend in-person and virtual work during peak times

Preferred Qualifications:
Preferred for both the Admissions Counselor for Transfer Case Management and the Admissions Counselor (First-Year Domestic):
  • Knowledge of the college admission recruitment cycle and best practices in recruiting, admitting, and enrolling students is preferred
  • Experience evaluating applications through a selective admission process at a four-year institution is preferred
  • Oral and/or written fluency in a second language is preferred but not required

Preferred for Admissions Counselor for Transfer Case Management:
  • At least two years' experience in the field of higher education, with experience in transfer admissions and/or international education preferred
  • An understanding of both US and international secondary and post-secondary curricula is preferred
  • Detailed knowledge of the transfer application cycle, and differences in recruitment for this population from first-year students

Preferred for Admissions Counselor (First-Year Domestic):
  • Two or more years' administrative work experience is strongly preferred
