Nestled next to the protected open space of the Arastradero Preserve, Palo Alto Hills Golf & Country Club (PAHGCC) blends the outdoors, family, and exceptional golf in one of the most idyllic locations in the Bay Area. PAHGCC was built in 1958 and developed with a vision to be the family club inclusive of women and children and has been a leading example of family membership ever since. Our welcoming and distinctive Private Club provides a premier championship golf course, year-round recreation, and artistic culinary and social activities for Members, their families and guests.
JOB PURPOSE
The Concierge will represent and execute Palo Alto Hills Golf & Country Club standards of service excellence for all members, guests, callers, and its employees. The Clubhouse Concierge will provide timely and professional service responses via phone, email, and in person. The position requires a warm and friendly, pro-active, organized individual able to perform varied, diversified, and confidential administrative work which supports the successful completion of departmental functions, goals and objectives. Excellent administrative and communication skills are required. This position performs a variety of tasks to support a handful of senior managers.
DUTIES & RESPONSIBILITIES
MEMBER & GUEST SERVICE:
  • Proactively greet everyone who calls or enters the property in a pleasant, outgoing and professional manner
  • Provide extra assistance (onboarding) to new members regarding rules, reservations, introductions, recommendations
  • Ensure the front desk, lobby, meeting rooms and downstairs restrooms are clean, orderly, presentable and welcoming

ADMINISTRATIVE:
  • Answer all phone calls, respond to voicemail messages and email
  • Order office supplies for the Club
  • Work with event staff to schedule and reserve conference rooms
  • Supports team with courier options (Federal Express, USPS, etc)
  • Maintain log of lost and found items
  • Assist Committee Chairs with printing, copying, scheduling
  • Assist with mailing Member statements
  • Provide administrative support to the Director of Marketing & Membership in all membership-related tasks

MEMBERSHIP & COMMUNICATIONS:
  • Serve as a graphics designer and/or editor for Member-focused communications
  • Manage the Club website, microsites, and mobile app
  • Oversee Club's internal messaging (bulletin boards and digital signage) and external (mobile app, website, social media)
  • Create content for Club internal marketing, including but not limited to:
    • Flyers for both physical and digital display in weekly and quarterly newsletters
    • Digital displays including clubhouse monitors and golf cart screens
  • Support project for filing and converting documents to digital format
  • Support production of all digital and print communications
  • Promote club activities and events in a manner that engages the membership
  • Review the Club website daily, update inserts, review & update calendar items
  • Assist with Club communications, newsletters, emails, etc
  • Assist with membership database data entry, new Member profile and introduction pages
  • Lead the coordination and execution of Member headshot photography
  • Organizes production of membership gifts and manages spreadsheet of inventory and distibution
  • Effectively responds to Member comments in accordance with Club standards, policies and rules; uses ideas, feedback and suggestions to continuously improve member services
  • Assist Committee Chairs with printing, copying, scheduling

FOOD & BEVERAGE DEPARTMENT:
  • Complete reservations for Members for dining and special events
  • Print buffet cards, special event menus
  • Facilitate online carryout food + wine sales
  • Process event billing

KNOWLEDGE, SKILLS, AND EXPERIENCE
  • Bachelor's degree preferred or at least 2+ years relevant work experience in private clubs or hospitality
  • Knowledge of hospitality industry, administrative roles and customer service
  • Experience with Canva, Adobe, Microsoft office, Outlook, and CRM
  • Ability to interact comfortably and professionally with the public via phone, email and in person in an efficient, positive and brand-appropriate manner
  • Strong organizational, problem-solving, and analytical skills demonstrated by the ability to make timely and sound decisions
  • Commitment to excellence and high standards
  • Attention to detail in all work performed
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm

LICENSES AND SPECIAL REQUIRMENTS
  • Must provide valid documents to work in the U.S.
  • Valid California Driver's License is required
  • CPR/AED certified preferred but not required

PHYSCIAL REQUIRMENTS
  • This position requires a flexible schedule for working evenings, weekends, and all holidays as determined by business needs
  • Required to sit for long periods
  • Must be able to reach, bend, stoop, stand and lift up to 30 pounds
  • Must be able to work in a variety of environmental conditions, including both hot and cold temperatures, indoors and outdoors
  • Public speaking at meetings and events may be required
  • Must be able to handle indoor and outdoor conditions
  • May be subject to loud music or noise

ABOUT OUR OFFER
  • This is a full-time non-exempt hourly position at $28.00 - $30.00 per hour
