Job Description
Position Summary:
Reporting to the Vice President for Student Affairs and Admissions, the University Registrar serves as the University's chief steward of academic records and enrollment services and is responsible for the leadership, administration, and operational effectiveness of the Office of the Registrar across all LIU campuses. The University Registrar provides strategic oversight of student records, registration services, degree conferral, academic scheduling, curriculum implementation, catalog management, compliance, and student information systems. The University Registrar collaborates extensively with Academic Affairs, Student Affairs, Admissions, Information Technology, Finance, Human Resources, Athletics, and other institutional stakeholders to ensure the integrity, security, accuracy, and accessibility of student academic records and related processes. The University Registrar serves as the functional owner of the student records module within PeopleSoft and leads the implementation of system enhancements, operational improvements, and regulatory compliance initiatives. The University Registrar is responsible for ensuring compliance with university policies, accreditation standards, federal and state regulations, and external reporting requirements while promoting student success through efficient, student-centered services and data-informed decision-making.
Key Responsibilities
  • Provide leadership, direction, and oversight for all registrar operations across the University, including registration, academic records, grading, degree audit, graduation, transcript services, enrollment verification, and academic scheduling.
  • Serve as the University's primary authority on student academic records, registration policies, academic procedures, FERPA compliance, and records management practices.
  • Oversee the maintenance, security, integrity, retention, and release of student academic records in accordance with institutional policies and applicable federal and state regulations.
  • Direct the implementation and administration of academic policies and procedures related to enrollment, academic standing, progression, degree requirements, and graduation.
  • Manage the configuration and maintenance of degree audit systems for all academic programs and oversee the accurate recording of academic exceptions, substitutions, waivers, and curriculum requirements.
  • Provide leadership and oversight of the degree clearance and conferral process, including candidate review, verification of degree requirements, conferral of degrees, and issuance of diplomas.
  • Collaborate with Academic Affairs, faculty leadership, and governance bodies to implement approved curriculum changes, academic policies, program requirements, and catalog updates within university systems.
  • Facilitate the submission of documentation to the New York State Education Department (NYSED) related to new academic programs, program modifications, and other regulatory matters in collaboration with Academic Affairs.
  • Support institutional accreditation activities and ensure compliance with accreditation standards, academic regulations, and reporting requirements.
  • Serve as the University's liaison to state, federal, and external agencies regarding student records, enrollment reporting, academic compliance, and degree verification.
  • Oversee the annual academic catalog production process and ensure the accurate publication of all university catalogs and academic requirements.
  • Direct the development and implementation of the academic schedule across all campuses, including course scheduling, classroom utilization, instructional space management, and schedule optimization.
  • Partner with Human Resources, Finance, Academic Affairs, and academic departments to support faculty workload management, instructional assignments, and resource planning associated with academic scheduling.
  • Serve as the functional owner of the student information system and lead system enhancements, testing, upgrades, workflow automation, and business process improvements in partnership with Information Technology.
  • Collaborate with Information Technology and campus partners to modernize registrar operations and improve service delivery through technology-enabled solutions.
  • Ensure the accuracy and timely completion of institutional reporting requirements, including federal, state, accreditation, and external agency reporting related to enrollment, degrees, and student records.
  • Partner with Student Affairs, Enrollment Management, and Academic Affairs to support student retention, persistence, progression, graduation, and student success initiatives.
  • Certify student-athlete eligibility and collaborate with Athletics to ensure compliance with NCAA, conference, institutional, and federal regulations.
  • Provide training, guidance, and consultation to university administrators, faculty, and staff regarding academic policies, registration processes, records management, and student information systems.
  • Develop, implement, and monitor policies, procedures, and internal controls to ensure data integrity, operational effectiveness, and regulatory compliance.
  • Supervise, mentor, and evaluate Registrar's Office staff while fostering a culture of collaboration, continuous improvement, professional development, accountability, and student-centered service.
  • Represent the Office of the Registrar on university committees, task forces, strategic initiatives, and cross-functional projects.
  • Perform other duties and responsibilities as assigned by President, Vice President for Student Affairs and Admissions, and/or Chief Operating Officer
