We are seeking an experienced Executive Assistant to provide high level administrative support to senior leaders, managing complex calendars, travel, meetings, and confidential communications with professionalism and sound judgment. The ideal candidate brings strong executive presence, attention to detail, and the ability to operate effectively in a fast paced, multi stakeholder environment.

This position follows a hybrid schedule with four in-office days per week.

Primary Responsibilities:

  • Provide direct administrative support to C-Suite Leaders, VP and Senior leaders, including the CIO, in a high-volume, high-priority environment
  • Manage complex calendars across multiple time zones, resolving frequent meeting conflicts by understanding leader priorities and anticipating schedule needs
  • Coordinate domestic and international travel and flight logistics, including complex itineraries, changes, and last-minute adjustments
  • Prepare, submit, and reconcile expense reports; support invoicing and other administrative financial processes as needed
  • Plan and support meetings (virtual and in-person), including scheduling, agendas/materials, room/technology coordination, and follow-ups
  • Draft, edit, and format polished executive-ready documents and presentations; maintain organized files and reference materials
  • Handle sensitive information with discretion; represent leaders professionally with internal and external stakeholders

Required Qualifications:

  • High school diploma or GED
  • 5+ years of progressively responsible administrative support experience, including direct support to C-Suite Leaders and VP or Senior leaders
  • Advanced calendar management experience across multiple time zones, including resolving frequent schedule conflicts and shifting priorities
  • Travel coordination experience (domestic and international), including flight logistics and complex itineraries
  • Expense management experience, including reconciliation and timely submission of expense reports
  • Advanced proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPoint
  • Demonstrated professionalism and discretion when handling confidential information and engaging with senior stakeholders
  • Centralized EA model experience supporting senior leaders and partnering effectively with other administrative professionals
  • Multi-leader support experience, including balancing competing priorities in a complex, matrixed organization
  • Corporate travel and expense systems experience (Concur, Ariba, AMEX Global Travel), including invoice processing
  • Collaboration and knowledge tools proficiency (SharePoint, OneNote, Teams) to maintain well-organized, accessible information
  • Mentoring/onboarding experience to support administrative best practices and team continuity

Preferred Qualifications:

  • Experience supporting multiple leaders simultaneously
  • Familiarity with SharePoint, OneNote, or other collaboration tools
  • Experience mentoring or guiding other administrative professionals
  • Ability to anticipate executive needs and act independently with minimal direction

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $34.00 - $60.00 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
