The Customer Services Specialist II provides essential front office support and ensures a positive, efficient, and customer-focused experience for clients, families, referral sources, and visitors within the Outpatient Department at Tykes & Teens. Advanced administrative skills will be applied to ensure accurate data management, program coordination, reporting compliance, and operational effectiveness.

The experience you will bring:

  • Knowledge of Microsoft Word and Excel.
  • Knowledge of administrative and clerical procedures and systems.
  • Ability to clearly articulate messages to a variety of audiences and in a variety of formats.
  • Work independently and have good organizational skills
  • Ability to give full attention to what others are saying and excellent listening skills
  • Ability to communicate effectively in writing and engaging with others to convey information.
  • High School Diploma required.
  • Minimum one (1) year of guest relations, front office, or admissions experience.
  • Minimum (2) years' experience working in healthcare.

Primary Duties and Job Responsibilities:

  • Provide exceptional customer service to clients, families, referral sources, and visitors.
  • Answer incoming calls and electronic communications professionally and promptly.
  • Respond to written communications within established expectations.
  • Assist walk-in clients and visitors by assessing needs and providing appropriate information or guidance.
  • Schedule, reschedule, and confirm client appointments.
  • Complete client registration and demographic updates. Support insurance verification processes and ensure required client information is obtained.
  • Perform client check-in and check-out procedures.
  • Collect co-pays, balances, and other required payments.
  • Create, scan, upload, and maintain client records within the electronic health record (EHR).
  • Maintain accurate client information, communication records, and administrative documentation.
  • Verify client documents and intake forms within required timeframes.
  • Notify clinicians of client arrivals, scheduling changes, and client needs.
  • Maintain front office organization and support daily office operations.
  • Complete opening and closing procedures.
  • Support clinicians and leadership with administrative tasks.
  • Maintain HIPAA compliance and confidentiality standards.
  • Enter and maintain grant and contract-required data into Carisk, SAMIS, and other required reporting systems.
