Responsibilities:

Core Responsibilities Include:

  • Balancing and preparing the Daily Deposit
  • Posting receipted payments to appropriate schedule and/or customer account(s) in a timely manner.
  • Initial contact for A/R customer inquiries/questions related to accounts. [Resolving billing/payment issues.]
  • Prepare and mail the monthly A/R statements. Normally done on 1st business day of the new month.
  • Create and maintain parking rental invoices and payments.
  • Processing of new credit applications from start to finish in a timely manner, with regard to established procedures.
  • Maintain the Accounts Receivable data base [Computerized, and hard copy/paper file(s)].
  • Utilize “In House Data Processing system, and its’ reports to contact/follow up with “Past Due” or “Over Limit” accounts. [Collections].
  • Complete monthly bank reconciliation.
  • Manage various customer invoicing websites.
  • Assist with maintaining proper record retention.
  • Compile/Maintain a proper set of notes and or correspondence that is related to this position.
  • Arrive at work, take breaks, and depart work at the times designated by Assistant Office Manager

Additional Responsibilities may include but are not limited to this position:

  • Gain a working knowledge of the company handbook, policies and procedures.
  • Cash Drawer reconciliation.
  • POS processing for customer invoices.
  • Assist in reconciling/balancing various accounts, and or schedules that are assigned by the Office Manager. This is an ongoing function.
  • Assist with various month/year end issues (data entry, verification of output, etc)
  • Provide support to other areas within the front office.
  • Answer Phones
  • Assist with Special Projects with direction by Assistant Office Manager, Controller, or General Manager.

Requirements:

  • Professional communication skills.
  • Typing, keyboarding skills, and 10-Key Calculator functionality [all with speed and accuracy).
  • Knowledge of basic accounting (effects of debits and credits).
  • Work well under pressure.
  • Ability to prioritize.
  • Computer literacy (usage and proper utilization)
  • Basic knowledge of “Word Processing” programs.
  • Basic knowledge of “Excel” [Spreadsheet Program(s)].
