Symphony Private Jets and Air New England are seeking a highly organized, motivated, and customer-focused professional to join our team as a Charter Sales & Operations Coordinator.

This is a fast-paced position where no two days are the same. You'll play an important role in coordinating private aircraft charter flights, supporting business development, managing government contracting opportunities, and delivering exceptional service to our clients from their first inquiry through the completion of every trip.

Primary Responsibilities:
Charter Sales & Client Support
Prepare charter quotes, proposals, flight itineraries, and customer presentations.
Research aircraft availability and compare operator quotes to identify the best solutions.
Manage customer communications, CRM records, follow-ups, onboarding, and trip documentation.

Flight Operations
Coordinate aircraft schedules with operators and FBOs.
Arrange passenger services, including ground transportation, rental cars, hotels, and catering.
Track flights before, during, and after each mission.
Confirm passenger manifests, required documentation, and special requests.
Assist with international trip planning, customs, and permit coordination.

Business Development
Research prospective clients, industries, and partnership opportunities.
Conduct outbound phone and email outreach to generate new business.
Maintain prospect pipelines within the CRM and schedule introductory meetings.
Assist with marketing initiatives and build long-term client and referral relationships.
Track outreach efforts and sales performance to improve conversion rates.

Government Contracting
Monitor government procurement portals for aviation opportunities.
Assist with preparing and submitting proposals, quotations, and capability statements.
Build relationships with Contracting Officers, Small Business Offices, and agency personnel.
Expand and maintain Symphony Private Jets' nationwide network of qualified Part 135 operators.
Maintain proposal, contract, and past performance records while ensuring contract requirements are met.

Administrative & Operational Support
Maintain aircraft, operator, vendor, and customer databases.
Research airports, FBOs, aircraft capabilities, and regulatory requirements.
Organize company records, track operational tasks, and improve internal workflows.
Provide general administrative support as needed.

Qualifications
We're looking for someone who:
Is highly organized and thrives in a fast-paced environment. Has exceptional communication and customer service skills. Enjoys solving problems and thinking independently. Can manage multiple projects and deadlines simultaneously. Is comfortable communicating with clients, operators, vendors, and government agencies. Has strong computer skills and is eager to learn.

Preferred Experience
Aviation, charter brokerage, logistics, sales, or customer service experience. Experience using CRM software. Proficiency with Microsoft Office and Google Workspace. Familiarity with Part 135 operations or government contracting is a plus but is not required
