Job description

About the Role:
Under the direction of the Director of HaBITTS, the Manager of Epic & IT Training is responsible for the planning, organization, and management of all Epic training as well as training for multiple HFH Enterprise software systems. This position will oversee the training for end users systemwide and will manage a team of Instructional Designers and Credentialed Trainers to ensure successful process and execution of the educational programs. Educational programs consist of classroom training, virtual training sessions, online learning with content, both internally and externally created and web-based information library/dashboards. The training manager will also plan, organize, and manage various HaBITTS customer support initiatives such as optimization programs, onsite rounding, and real time assistance services. As part of the HFH IT team, the training manager is also responsible for managing and overseeing training and change management activities required to ensure the successful adoption of additional Epic modules and new IT systems and processes.
Your Tasks & Responsibilities:
  • Directly manages a training team of Instructional Designers and Credentialed Trainers including coordinating schedules, resource assignments, Kronos and Project Time tracking.
  • Responsible for the hiring, evaluation, disciplinary actions and employee engagement of direct reports.
  • Designs and develops training strategy, and project plans and ensures milestones are met and the project plan accurately reflects required steps to ensure smooth execution and implementation of training initiatives.
  • Leads the design and implementation of on-going learning solutions and educational support services.
  • Designs and implements new processes/programs to improve the image and productivity of the HaBITTS department.
  • Oversees curriculum development (including classroom, eLearning and support tools) and ensures quality assurance checks are in place and that training captures both system and workflow process.
  • Oversees the design of proficiency assessments to measure employee knowledge and skills.
  • Leads review and management of Help Desk tickets and adheres to Service level Agreement expectations demonstrated through ongoing support of end users. Works effectively as part of a team in resolving issues escalated through the Help Desk in a timely manner.
  • Acts as the HaBITTS liaison to associated departments and constituencies throughout the health system. Understands core system processes and interdependencies.
    • Participates actively in key meetings with Operational Leaders to develop best practice educational programs.
    • Represents HaBITTS team on other various Governance Advisory Councils and Organizational teams.
  • Partners with IT Team leads and operational stakeholders to develop new procedures or programs to ensure training needs are met and executed efficiently.
  • Identifies enterprise software system issues and concerns and communicates and collaborates with other IT project teams to develop recommendations for resolution.
  • Identifies trends that may require additional training focus, in-service needs, Policy and Procedure modifications, system modification, etc. and develops training plans to address these trends.
  • Oversees the development and continuous improvement of (examples below-though additional tasks and projects may be included as needed to develop a more comprehensive training approach):
    • Onboarding process for new hires to HFH and employee transfers
    • Credentialing Program for Trainers
    • Process for confirming training requirements and security access
    • Training scheduling process
  • Plans, organizes and facilitates the build and ongoing maintenance of the MST and ACE Epic training environments.
  • Reviews, designs and redesigns existing and/or new reports and/or practices of reporting. Develops metrics, analyzes results, recommends course of action, and implements action plans to address performance opportunities.
  • Performs other related duties as assigned or requested.
  • Maintains professional growth and development through seminars, professional organizations, and workshops as appropriate and/or necessary.

Education & Experience Required:
  • Bachelor's Degree required, Master's Degree preferred.
    • Preferred coursework in Project Management or Instructional Design.
  • Minimum Experience: Five (5) to Seven (7) years management responsibilities in
    health care setting with experience in one of the following required:
    • Project management
    • Business process reengineering
    • Instructional design
  • Three (3) to five (5) years' experience in designing and implementing computer-related learning solutions for staff at all levels preferably in a large health care setting.
  • Highly proficient with all MS Office programs.
