Job description

The Department of Chemical & Biological Engineering and the Department of Nuclear Engineering are seeking a highly motivated, organized, and professional individual with excellent communication, customer service, and computer skills to support department operations and leadership. This individual is the first point of contact between the two Departments and students, faculty, staff and the general public, in person and over the phone. 

A successful candidate will be able to work independently, manage multiple priorities, anticipate needs and exercise sound judgment while maintaining a high level of accuracy and professionalism. 

The ideal candidate will be detailed-oriented, adaptable, and exceptionally organized, with a demonstrated experience managing a broad range of administrative responsibilities. 

The Administrative Assistant 3 will work collaboratively with all members of the department to provide administrative support to the Department Chairs, Department Administrators, Department Accountant, Department Research Engineer, faculty, staff and students. This position is responsible for managing a departmental Purchasing Card (PCard) and supporting a variety of financial and operational processes. 

Duties include, but are not limited to:

  • Processing financial transactions and reconciling purchases in Chrome River.
  • Assisting with account tracking, purchasing, and other fiscal administrative activities. 
  • Assisting with safety training documentation 
  • Maintaining office equipment and managing office supply inventory
  • Answering phones, greeting visitors, sorting and distributing mail, filing, and responding to inquiries. 
  • Student hiring and student onboarding, 
  • Assisting as needed with other administrative duties as assigned 

This position is an in person position. The hours are Monday - Friday, 8:00 am to 5:00 pm.
