TITLE: Structural Trades Assistant

REPORTS TO: Structural Trades Manager

FLSA STATUS: Non-Exempt

PAY RANGE: $30.00-$34.00 per hor DOE

FT / PT STATUS: Full Time

LOCATION: Office, Shipyard, Customer Facilities

SUMMARY

The Structural Trades Assistant will provide administrative and recruiting support to the Structural Trades Manager by assisting with the recruitment, hiring, testing, and placement of skilled trades personnel. This position serves as a primary point of contact for prospective employees and plays a critical role in maintaining an efficient hiring process while ensuring a positive candidate experience.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Contact potential candidates regarding current employment opportunities.
  • Screen applicants to determine qualifications and interest in available positions.
  • Schedule welding, shipfitting, and other skilled trades testing with candidates.
  • Coordinate onboarding, ensure future employees submit all necessary documentation to the correct department.
  • Submit badging requests and keep an up-to-date database of each employee’s access and expiration dates.
  • Coordinate new hire training, initial training and refresher training. Maintain records of completion
  • Assist with travel arrangements.
  • Perform travel briefings to include location of muster site, supervisor contact information, parking instructions, IMIA standards and expectations.
  • Coordinate testing logistics and communicate schedules with applicants and hiring personnel.
  • Answer questions from new applicants regarding positions, hiring requirements, benefits, onboarding, and company expectations.
  • Coordinate badge pickup.
  • Assist in organizing and participating in job fairs, recruiting events, trade school visits and military transition events.
  • Track recruiting metrics, including applicant flow, testing completion, offers extended, and hires.
  • Conduct follow-up calls with applicants to maintain interest throughout the hiring process.
  • Assist with job placement by matching candidates to available projects based on qualifications, certifications, and project needs.
  • Review weekly time and per diem to ensure accuracy prior to submission to finance.
  • Fill out employee transfer forms.
  • Take meeting minutes.
  • Sends out weekly onboarding progress tracker.
  • Sends out weekly training reminders.
  • Sends notification to all necessary parties of travelers (names and destinations).
  • Sends employee transfer notifications to necessary departments.
  • Perform other related duties as assigned

SUPERVISORY RESPONSIBILITY

  • None

KNOWLEDGE, SKILLS, ABILITIES & ATTRIBUTES

  • Must be able to stay focused in a fast-paced environment.
  • Proficient in Microsoft Outlook, Word, Excel, and other standard office software.
  • Well organized, tracking multiple moving pieces across the business unit.
  • Good written and verbal communication.
  • Strong computer skills. Proficient in Microsoft products.
  • Must be Dependable, reliable, and accurate.
  • Work well with changing priorities, and under stress.
  • Self-starter who requires little oversight to accomplish their duties.

EDUCATION AND EXPERIENCE

  • High school diploma or GED required.
  • 2 years of administration experience.
  • Former Welding experience required.

WORKING CONDITIONS / PHYSICAL REQUIREMENTS

  • Work is primarily performed in an office environment. Occasional visits to industrial work sites, or shipyards may be required. Occasional walking, standing, sitting, crouching, climbing, or crawling may be required. When required Personal Protective Equipment must be worn 9i.e. steel toes boots, hardhats, and eye-protection).
  • Occasional travel may be required.
