Job Summary
The Agent, Private Shore Excursions, plays a vital role in supporting the planning, coordination, and execution of luxury Pre-Designed and Custom Private Excursions across the global fleet. In this role, you will assist in ensuring all excursion requests are processed efficiently, accurately, and with the highest service standards. This role serves as a liaison between internal departments and external tour operators to facilitate prompt responses, timely deliverables, and smooth pre-voyage coordination.
Essential Functions
Internal Communication & Vendor Coordination
  • Serve as the primary contact for inquiries from internal departments regarding pre-designed and custom private excursions.
  • Collaborate with tour operators to confirm availability, request proposals, assist in negotiating services, and support the timely delivery of excursion components.
  • Facilitate ongoing communication with internal teams and vendors to assist in finalizing excursion details within deadlines.
  • Support the process for all tour cancellations-including group tours-by ensuring notifications are sent to guests and relevant internal teams in a timely manner.
  • Assist with the pre-voyage handover by communicating booking details and special requirements to shipboard teams.

Booking & Systems Management
  • Maintain accurate and current excursion and booking records across internal systems.
  • Track payment and booking statuses, working collaboratively with internal teams to help resolve issues and maintain smooth operations.
  • Cross-check external delivery of Shore Excursion information-such as the company website and MyYacht Portal-to ensure accuracy and consistency with internal records.

Operational & Cross-Functional Support
  • Prepare and distribute standardized communications for select guest programs, ensuring clarity and brand alignment.
  • Support specialized travel experiences such as promotional trips, marketing campaigns, and group events.
  • Assist in coordinating logistics and documentation for high-profile guest experiences like influencer and media visits.
  • Build and maintain cooperative relationships with internal stakeholders and external partners to support smooth operations.
  • Provide flexible operational support within the Shore Excursions department, including assistance with group tours, inventory audits, updating internal tools, and contributing to training materials for other departments.
  • Provide operational support to the Experience Ambassador Team by supplying destination insights, shore excursion details, and timely port updates to enhance guest-facing knowledge.

Competency
Education:
  • A Bachelor's Degree preferred in Geography, Hospitality Management, Business, or a related field is highly desirable.

Skills & Experience:
  • 3 - 5 years of relevant experience in shore excursions, guest services, or travel operations
  • Knowledge of global ports, destinations, and land programs is a plus
  • Proficient in Microsoft Office, Salesforce, MXP, and Reservations systems
  • Strong attention to detail and organizational abilities
  • Clear written and verbal communication skills
  • Guest-first attitude with a commitment to high-touch service
