Location: 11738 Kingsway NW, Edmonton, AB

Closing Date: Until Suitable Candidate Found

Position Status: Full Time (40 hrs per week), Permanent


The Otipemisiwak Metis Government is recruiting for a Receptionist to support the Facilities and Building Operations (FBO) team. Reporting to the Administrative Services Supervisor and working closely with the other current Receptionist, this position will be responsible for providing information and administrative support services for the Provincial Head Office of the Otipemisiwak Metis Government. In this role, the Receptionist will respond to general inquiries and be the first point of contact for walk-ins and telephone calls. The Receptionist will be a master multi-tasker with excellent communication skills and an upbeat attitude, who will be required to take direction and work intuitively to support the completion of the department's goals and objectives in a professional and culturally appropriate manner.



Key Responsibilities

  • Greet and direct all walk-ins in a professional and courteous manner.
  • Answer, screen, and forward a high volume of incoming phone calls and telephone inquiries with tact and professionalism.
  • Provide accurate information in a clear, concise manner to all callers and walk-ins.
  • Maintain office security by following safety procedures, controlling door access via the reception desk, and monitoring the sign-in book.
  • Coordinate the booking schedule of meeting boardrooms.
  • Receive, sort, track, and distribute daily mail/deliveries.
  • Prepare and process large mail-outs for Otipemisiwak Metis Government programs/initiatives.
  • Process purchases in person and over the phone (card replacements, swag, etc.).
  • Filing, word-processing, data entry and other support services as required.
  • Attend meetings and take meeting minutes.
  • Present a positive and professional image of the organization when interacting with employees, citizens, visitors, and other external stakeholders.
  • Maintain a high level of cultural sensitivity, professionalism, and confidentiality in all interactions and when handling sensitive documents.
  • Other duties as required or assigned.


Skills and Competencies

  • Recognized strength in supporting teams and providing administrative and clerical support to add to organizational capacity.
  • Proficient in Microsoft Office programs (including Word, Excel, and PowerPoint).
  • Ability to maintain filing systems, databases, and tracking processes.
  • Exercise discretion in handling confidential information, including departmental and community information.
  • Excellent multitasking and time-management skills, with the ability to prioritize tasks.
  • Ability to take initiative and be innovative in improving office and administrative procedures.
  • Ability to be resourceful and proactive when issues arise.
  • Ability and experience in handling stressful situations.
  • Ability to be flexible, adaptable, and work independently as well as part of a team.
  • Excellent communication skills with the ability to listen, interpret and convey information to the appropriate staff and various audiences.
  • Strong interpersonal skills and ability to establish strong working relationships.
  • Flexible and adaptable, with an ability to switch between multiple priorities.
  • Strong sense of ethics and the ability to maintain a high level of confidentiality in all interactions.
  • Political and cultural sensitivity.
  • Knowledge of Metis history, culture, and issues affecting Metis people. An in-depth understanding of the Otipemisiwak Metis Government and Metis culture is an asset.

Qualifications

  • Certificate in Office Administration or education in a related field. Relevant training and experience is considered an asset.
  • Minimum of two (2) years of experience in a similar administrative or receptionist role, preferably within a government, non-profit, or Indigenous organization.
  • Hands-on experience with office equipment (e.g. fax machines, printers, multi-line phone systems).
  • Customer service training is an asset.

Other Requirements

  • Position is based in Edmonton; in-office presence is required.
  • Ability to work a regular schedule of Monday - Friday, 8:30 AM - 4:30 PM as well as occasional evenings and weekends, with notice.
  • Ability to travel throughout Alberta, with notice.
  • Reliable transportation and a valid Class 5 Driver's License.
  • Acceptable attainment of a Police Information Check with a Vulnerable Sector Check and an Intervention Record Check is required.
