Job Description

The Administrative Specialist will provide administrative support to the Department of Theatre department and UT Theatre faculty, staff, and students. This position is the departmental resource for Human Resources/Payroll providing guidance on HR policies and procedures, as well as liaising with the College of Arts and Sciences HR team and campus partners on HR and payroll matters.

Responsibilities

Under the guidance of the Business Manager, assists bi-weekly and monthly staff with submitting their time and leave entries before required Payroll deadlines.

Assists the Business Manager with HR hiring documents and personnel changes.

Assists the Department Head and Business Manager with the timely preparation and submission of tenure and promotion dossier documents, faculty leave documents, and requests for faculty appointments.

Assists the scholarship committee as needed with collecting and managing scholarship applications and works with Financial Aid to ensure funds are distributed to students each term.

Assists business manager with distributing information to the graduate students concerning their stipends, fellowship allocations, tuition central fee waivers, and student health insurance.

Assists the Associate Department Head with overrides for student registration, department's academic timetables, teaching schedules, and declarations for majors, minors, and concentrations.

Maintains files and recordkeeping for the department.

Performs general office duties for Theatre's Administrative Office, including answering the main department phone and welcoming visitors and guests; managing the department's mail and packages; and providing assistance with preparing meeting or event spaces as needed.

Acts as Theatre's point of contact with Parking Services and Facilities Services for its main administrative office in Mcclung Tower.

Assists Theatre faculty and staff with other administrative office needs as directed.

Qualifications

Required Qualifications

  • Education: High school diploma
  • Experience: 2 years of office or customer service experience
  • Knowledge, Skills, Abilities:
    • Microsoft Office and Adobe skills.
    • Ability to communicate effectively verbally and in writing with various constituencies, including faculty, staff, students and partners in other campus units.
    • Ability to prioritize multiple tasks and to shift priorities to meet pressing needs.
    • Excellent time management skills.
    • Ability to work independently and as part of a team.
    • Ability to be flexible and adaptable.

Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment-based visa status.

Preferred Qualifications

  • Education: Associate degree
  • Experience: 1 year of office or customer service experience
  • Knowledge, Skills, Abilities:
    • Knowledge of UT policies, especially Fiscal and HR policies.
    • Knowledge and experience with: DASH, Banner, Argos, lnterfolio, and/or Scholarship Manager

  • Anticipated hiring range: $37,000 - $42,000
