Relevant de l'equipe de courtiers immobiliers designee (et/ou autre personne designee), ce poste requiert un soutien administratif immobilier quotidien dans un environnement tres dynamique. En tant que Coordonnatrice des services client (CSC), vous fournirez du soutien en ventes, marketing et en recherche, de concert avec les services administratifs du bureau pour nos courtiers et clients. Vos responsabilites consisteront a fournir du materiel pour des presentations, des inscriptions et des offres, des documents pour la mise en marche de proprietes et des rapports pour les clients, effectuer des etudes de marche et de la gestion de transaction, tout en coordonnant le materiel de promotion et de marketing apres-vente (sous la direction de notre equipe du marketing).

Reporting to the designated Leasing Team (and/or other designated person), this role includes daily real estate administrative support in a fast-paced environment. As a Client Services Coordinator ("CSC"), you will provide sales, marketing, and research support along with general office administration to your team and clients. Your responsibilities will be an exciting mix of providing presentation support, listing and offer preparation, property marketing and client reporting, conducting market research and transaction administration, all while coordinating promotional and post-sales marketing materials.

Responsibilities

ADMINISTRATION :

  • Mettre a jour et reviser les inscriptions de proprietes, gerer les dates d'expiration et preparer les documents requis;
  • Tenir des registres de correspondance pour les inscriptions de proprietes aupres des courtiers et mettre a jour les rapports pour les clients lorsque requis;
  • Coordonner le traitement des transactions avec les courtiers et le service de comptabilite;
  • Planifier des reunions, rendez-vous, visites de proprietes et plans de voyage;
  • Reviser les documents pour verifier l'orthographe, la grammaire et la mise en page et apporter les changements necessaires. Etre responsable de la precision et de la clarte de la version finale;
  • Collaborer etroitement avec les courtiers sur des projets varies.

MARKETING :

  • Organiser, creer, preparer et produire du materiel de marketing personnalise ainsi que des trousses, presentations et propositions sur mesure pour les clients;
  • Aider a la preparation, la coordination et l'assemblage du materiel marketing pour les inscriptions de proprietes, y compris les brochures, invitations, affichages et annonces InDesign tout en maintenant la marque Avison Young dans tous les projets;
  • Mettre a jour les inscriptions sur le site web d'Avison Young et dans d'autres emplacements lorsque requis;
  • Rechercher et concevoir des cartes InDesign des espaces, concues specialement pour les clients.

The key responsibilities of the Client Services Coordinator include, but are not limited to, the following:

ADMINISTRATION:

  • Provide administrative support for internal and external correspondence including file management, organizing and distributing marketing materials

LEASING:

  • Prepare written service proposals
  • Prepare contracts and ensure successful implementation
  • Coordinate the communication between decision-makers, property owners and other stakeholders in the commercial real estate industry
  • Attend and participate at all weekly sales meeting
  • Assist in tours and help the Leasing Team in their mandate (building tour and client tour)
  • Preparation, control, and maintenance of legal documents (letters of intent, offers, proposals, commission agreements, listing agreements, amendments, waivers, extensions, and Multiple Listing Services agreements) throughout the deal and due diligence process
  • Maintain and review property listings and manage expiry dates and prepare required documentation
  • Maintain records of correspondence for property listings with agents and update client reporting as required
  • Coordinate deal processing with agents and Accounting Department
  • Schedule meetings, appointments, property tours and travel plans
  • Proofread copy for spelling, grammar and layout making appropriate changes; responsible of accuracy and clarity of final copy
  • Work closely with agents on various initiatives and special projects

MARKETING:

  • Organize, create, prepare and produce customized marketing materials as well as client-specific packages, presentations, and proposals.
  • Assist with preparation, coordination and assembly of marketing materials for property listings, including brochures, invitations, signage, and announcements InDesign, while maintaining the Avison Young brand throughout all projects.
  • Update listings on Avison Young website and other locations as advised
  • Research and design space map tailored for clients on InDesign 

RESEARCH:

  • Coordinate property availability surveys and other applicable research and marketing collateral relevant 
  • Conduct market information research through various sources including CRM and third-party databases such as MLS, Altus, CoStar etc.
  • Update CRM database with current market and client information.
Qualifications
