Position Summary

The Assistant Rink Operations Manager supports the scheduling, coordination, and operational oversight of the ice rink facility. This position assists in serving as a liaison between school departments, athletic programs, external rental organizations, and the facilities and security teams to help ensure efficient, accurate, and conflict-free rink operations.

The role requires strong organizational skills, clear communication, and the ability to respond effectively to scheduling adjustments in a dynamic, multi-user environment.

Essential Duties and Responsibilities

  • Assist in managing and maintaining the master rink schedule, coordinating with the school’s central calendar and external rental groups to ensure optimal facility utilization.
  • Enter, update, and maintain rink scheduling data within the Follett Scheduling System with accuracy and consistency.
  • Utilize CrossBar to create, manage, and communicate schedules for Middle School, Varsity, and Junior Bulldogs hockey programs.
  • Assist in developing and distributing a weekly ice resurfacing schedule to facilities and security teams by the Tuesday prior to the scheduled week.
  • Serve as an on-call contact for rink schedule adjustments, operational changes, and time-sensitive facility needs when necessary.
  • Communicate proactively with internal stakeholders and external rental groups regarding scheduling updates, rink operations, and facility considerations.
  • Support collaboration with school administrators and departments to ensure rink scheduling aligns with the broader school calendar and minimizes conflicts within the school community.
  • Build and maintain professional relationships with rental organizations and their scheduling representatives.
  • Be available on-site for large rental events, assisting in overseeing operations and ensuring adherence to facility policies and expectations.
  • Identify, document, and report facility incidents, maintenance concerns, or operational issues in a timely and professional manner.
Required Qualifications
  • Strong organizational and time-management skills with the ability to manage multiple schedules and stakeholder needs simultaneously.
  • Experience working with scheduling platforms such as Follett Scheduling System, CrossBar, or comparable scheduling systems.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to work independently while remaining flexible and responsive to changing priorities.
  • Strong attention to detail and effective problem-solving abilities.

Preferred Qualifications

  • Experience in rink operations, athletic facility management, or event scheduling.
  • Familiarity with ice hockey programs and rink-specific operational needs.
  • Availability to work evenings, weekends, and occasional on-call shifts as required by facility usage.
