Company Summary

Lowcountry Connections Academy (LCCA) is a tuition-free, full-time virtual school serving students in grades K-12 throughout South Carolina. LCCA is authorized under state law by the Charter Institute of Erskine and operated by LowCountry Connections Academy, a nonprofit corporation, through a contract with Connections Academy LLC. Connections Academy, a division of Connections Education, is accredited by Cognia, and LCCA is accredited by the Southern Association of Colleges & Schools Council on Accreditation and School Improvement.

Position Summary and Responsibilities 

The School Registrar, an experienced certified educator, is responsible for effectively: 

  • Supervising and managing daily administrative tasks of the school related to all campus active and inactive student records in the partner school district’s official student information system and the Connections Academy Education Management System; 
  • Providing the partner school district’s unofficial and official grade point averages;
  • Progress monitoring candidates for graduation by cohort;
  • Certifying all graduation candidates according to the Texas Education Agency’s and the partner school district’s assessment and curriculum requirements; and
  • Certifying all junior and senior GPA and ranks published via the school district’s official student information system. 
  • The School Registrar will meet all the partner school district’s and Connections Academy’s requirements and expectations when illustrating the following duties:
  • Monitoring Texas Academic Achievement Records to determine that each student has an academic achievement record, courses and grades are posted and up to date, state test results are recorded, and all posted courses are valid with appropriate credit values;
  • Ensuring that all students are enrolled in appropriate, validated courses and that each student has a current academic schedule, which adheres to each student’s individualized academic plan;
  • Verifying the validity and accuracy of the transcript, posting grades in the External Tool within 40 days of enrollment;
  • Checking the transcript and the student enrollment documents to determine that:
    • Each student has an official transcript for grades transferred in
    • Transcripts have appropriate progression plans, signatures, and seals
    • All grades and courses are posted and up to date
    • State test scores are accurately portrayed in the school LMS;
  • Posting correspondence, credit by exam, distance learning, and summer school grades to the external tool within the acceptable time frame, notify school counselors, and distribute copies;
  • Complying with procedures for the requesting and retrieval of grades for transfer students, the recording of these grades, and the distribution of grades to all appropriate school personnel involved in the data flow process;
  • Ensuring that only appropriate courses, credit values, quality points, and honors designations are considered in:
    • Determining GPA
    • Determining Class Rank
    • Certifying Students for Graduation
    • Certifying Students for Summer and Winter School Graduation
    • Reclassifying students based on credit totals;
  • Completing the verification process of Seniors for graduation which consists of:
    • Verify that all potential graduates have the expected graduation date posted in the EMS
    • Verify that all potential graduates have an official transcript in the cumulative file
    • Verify that all potential graduates have completed the required coursework
    • Completing a checklist of credits for all graduation candidates
    • Ensuring all students have the correct academic plan in the HISD SIS;
  • Supervising the appropriate full-time student records administrative assistants;
  • Ensuring all students have a Year Entered 9th grade;
  • Sending transcripts for all requests using the online form;
  • Uploading transcripts into Naviance for initial, mid-year, and final transcripts for seniors;
  • Monitoring Naviance for transcript requests;
  • Providing verification of enrollment letters for students for child support purposes;
  • Completing Social Security forms for students who receive benefits;
  • Determining honors students after spring ranking;
  • Ordering honor regalia for spring graduation;
  • Editing the spring graduation program;
  • Attending summer and winter graduation ceremonies to call out the names of graduates;
  • Ordering diplomas for graduation candidates for spring, summer, and winter;
  • Mailing diplomas to graduates after graduation;
  • Sending final transcripts to students’ requested college in Naviance;
  • Monitoring PEIMS Certify errors; and
  • Additional duties as assigned.

Requirements 

  • Bachelor’s Degree from an accredited college or university
  • Experience with SC High School Transcript and PowerSchool Data Entry
  • Texas Teacher Certificate (preferred)
  • Previous experience as a school registrar (preferred)
  • Strong technology skills (especially with Microsoft Office and Google products)
  • Proficient with creating and working in Excel spreadsheets
  • Ability to multitask in a fast-paced environment
  • Ability to maintain confidentiality
  • Good interpersonal skills
  • Pleasant, well-rounded, mature personality, with an absolute drive towards professionalism and customer satisfaction
  • Excellent attention to detail and organizational skills
