Overview
The Facilities Specialist addresses a range of issues, including those that may be unusual or occur infrequently, by applying established practices and existing procedures. The Facilities Specialist role directly influences the overall quality and effectiveness of the team's output. This role requires the ability to clearly communicate technical Facilities information and recommend enhancements to current processes. The Facilities Specialist is responsible for assisting with managing and monitoring projects for a variety of Facilities infrastructure upgrades and replacements. This position is an Individual Contributor role. The role directly reports to the Facilities Manager and routinely interacts with the Facilities team, HR, facility vendors, and employees.
Responsibilities
  • Act as an assistant project manager for a variety of Facilities infrastructure upgrades and replacements.
  • Assist with event planning, catering request, logistics, office relocation, conference room setup, reservation requests, work order submissions, and database floor plan updates.
  • Ensure regular monitoring and maintenance of office inventory levels, placing orders as needed.
  • Assist in administering scheduled upkeep of office facilities on-site to ensure optimum and satisfactory functionality at all times.
  • Coordinate service visits, track and schedule necessary facility-related inspections.
  • Assist with all mail request to manage the incoming/outgoing mail through the office mailroom.
  • Track office expenses, review invoices and submit invoices for payment and assist with record retention account.
  • Adhere to all local, state, and federal building codes, practices, and regulations.
  • Provide support to Environmental Health & Safety (EHS) group on electrical and mechanical systems.
  • Provide support to EHS, Facilities, and programs on the interpretation and implementation of the National Electrical Code.
  • Assist in managing tools required to conduct duties and proper clean up procedures upon task completion.
  • Maintain a working knowledge of maintenance standards, including utilizing the building automation system to control building temperature and overall employee comfort.
  • Complete assigned tasks per a determined schedule and as needed.
  • Provide knowledge of electrical, construction, plumbing and HVAC guidelines and standards. Ability to complete the following but not limited to light bulbs replacement, outlet repair, cord management, minor plumbing, HVAC, painting and furniture configuration.
  • Maintain maintenance and preventative maintenance schedules including but not limited to AED, ladder, fire extinguishers, spill kit and retractable inspections.
  • Assist as needed with facility related requests including deliveries, move requests, salting sidewalks, and misc. repairs.

Qualifications
  • Coursework or equivalent experience in maintenance activities including but not limited to HVAC, electrical, plumbing and routine maintenance.
  • Working knowledge of electronic wiring diagrams, schematics, and architectural / mechanical blueprints, a plus.
  • Certifications a plus
  • Proficient in Microsoft Office Suite.
  • A valid driver's license is required.
