Job description

Summary

The Hiring Assistant will assist applicants, new hires, store and corporate office Teammates with all aspects of the hiring process. The Teammate in this role will answer questions and provide guidance regarding the applicant tracking system, job postings, background checks, and onboarding. This role requires effective communication skills over the phone, in person, and via email correspondence. This position helps ensure compliance with applicable federal, state, and local employment laws.

Essential Duties and Responsibilities

This description intends to describe the general nature and level of work performed by Teammates assigned to this job. It is not intended to include all duties, responsibilities, and qualifications. Candidate and Stakeholder Communication

  • Provide excellent customer service and a positive user experience to applicants, current Buckle Teammates and Leaders across the entire company. Provide guidance and answer questions regarding the applicant tracking system, job postings, job requisitions, and onboarding.
  • Effectively communicate with managers regarding onboarding information and any necessary follow-up.

Administrative and Operational Tasks

  • Update and maintain hiring reports, tracking spreadsheets, and teammate files.
  • Ensure a smooth onboarding process for new hires
  • Assist with the processing and review of background checks, references, and other pre-employment screening tasks
  • Process onboarding information ensuring all information is correct.
  • Facilitate and administer background check and conviction records process in partnership with the Hiring Supervisor and Human Resources Manager.
  • Manage the rehire, transfer, and minor permit process.
  • Maintain and track teammate files in accordance with record retention policies.
  • Coordinate, facilitate, administer, and track the relocation process.
  • Assist with weekly, monthly, and quarterly projects that include compliance with federal and state employment laws.

Data Management

  • Maintain accurate and up-to-date records of candidate applications and hiring progress
  • Ensure compliance with labor laws and internal policies regarding recruitment
  • Manage compliance regarding the employment of minors including the tracking and issuing of minor work permits.
  • Monitor, track, and follow up on I-9 and E-Verify processes to ensure compliance.
  • Maintain compliance for Hiring Team processes by utilizing knowledge of state law supplement guides as well as federal, state, and local employment laws.

Hiring Systems

  • Manage, update, and troubleshoot the applicant tracking and onboarding system to support stores and ensure system and processes are streamlined and user friendly across the company
  • Manage, update, and submit requests through the background reporting system to assist stores and candidates with background consent process.
  • Manage and create case tickets to ensure all issues are addressed in a timely manner, keeping the entire hiring team informed on all courses of action.

General

  • Maintain a high degree of confidentiality at all times.
  • Fulfill mission statement by performing job duties with a high level of customer service while contributing to a positive team spirit.
  • Special projects and other duties as assigned.

Education and/or Experience

  • High school diploma or equivalent.
  • Associate's degree or equivalent from two-year College or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
