About the Role
On behalf of our client, a well-established insurance services organization, we are seeking a Temporary Phone Intake Specialist / Receptionist to serve as the first point of contact for members and prospects. In this front-line role, you'll be the welcoming voice and face of the office-answering calls, greeting visitors, and gathering the information needed to route inquiries to the right team. This is an excellent opportunity for a personable, detail-oriented professional who thrives in a fast-paced, customer-focused environment and takes pride in delivering a positive first impression. Job Description
As a member of the phone intake team, you'll manage incoming communications and ensure members and prospects are directed to the appropriate department in a friendly, efficient, and confidential manner. Your day-to-day responsibilities will include:
  • Working with members and prospects in person, over the phone, and through email to identify their needs and transfer them to the appropriate team or team member
  • Greeting members and prospects and, when applicable, verifying PHI and other pertinent information before notifying the appropriate team or team member of their arrival
  • Ensuring full customer satisfaction while maintaining a friendly, helpful demeanor
  • Posting and updating door signage for office holiday closings, agency meetings, and similar events
  • Maintaining a clean and orderly reception area
  • Keeping a log of any maintenance services performed in the office
  • Handling postal mail based on the needs of the office location
  • Recording customer interactions and data by documenting notes appropriately
  • Scheduling appointments for members
  • Updating the database with returned or undeliverable mail
  • Ensuring confidentiality and controlling access to sensitive information at all times

Required Qualifications:
  • High school diploma or equivalent
  • Prior experience in a receptionist, front desk, customer service, or administrative support role
  • Strong verbal and written communication skills with a professional, courteous phone manner

  • Proficiency with basic office technology, including multi-line phone systems, email, and database entry
  • Strong organizational skills and attention to detail
  • Ability to multitask and remain composed in a busy environment
Preferred Qualifications:
  • Experience in an insurance, healthcare, or professional services office
  • Familiarity with handling PHI and general HIPAA confidentiality standards
  • Experience scheduling appointments and managing customer records in a CRM or database
  • Bilingual abilities a plus
