Job description

Key Responsibilities
Fleet Operations & Oversight
  • Manage daily operations of a fleet exceeding 300 vehicles across multiple locations
  • Ensure optimal vehicle utilization, availability, and lifecycle management
  • Develop and implement fleet policies, procedures, and best practices
  • Coordinate vehicle assignments, replacements, and decommissioning
Maintenance & Asset Management
  • Oversee preventative maintenance programs to minimize downtime
  • Track and manage repairs, inspections, and service schedules
  • Maintain accurate records of all fleet assets, including registration, warranties, and service history
  • Manage vendor relationships with maintenance providers and dealerships
Telematics & Technology
  • Utilize fleet management systems and telematics platforms (e.g., Samsara preferred) to monitor:
    • Vehicle performance
    • Driver behavior
    • GPS tracking and routing
    • Fuel usage and efficiency
  • Analyze data to identify trends and implement operational improvements
Compliance & Risk Management
  • Ensure compliance with all federal, state, and local regulations (DOT, OSHA, FMCSA, etc.)
  • Manage vehicle registration, licensing, and insurance requirements
  • Oversee driver safety programs, including training and incident investigations
  • Monitor and reduce accidents, violations, and liability exposure
Fuel & Cost Management
  • Track and control fuel consumption and expenses
  • Implement fuel efficiency initiatives and fraud prevention measures
  • Develop and manage fleet budgets, including capital expenditures and operating costs
  • Identify cost-saving opportunities through data analysis and vendor negotiations
Vendor & Fleet Management Partnerships
  • Collaborate with external fleet management companies and service providers
  • Evaluate and manage contracts, SLAs, and performance metrics
  • Ensure alignment between internal operations and third-party partners
Procurement & Lifecycle Management
  • Oversee vehicle acquisition, specification, and upfitting
  • Develop replacement strategies based on lifecycle cost analysis
  • Manage vehicle disposal, resale, or auction processes
Driver Management & Support
  • Partner with HR and operations teams on driver onboarding and training
  • Enforce driver policies, including safety, maintenance reporting, and compliance
  • Address driver concerns related to vehicles and equipment
Reporting & Analytics
  • Generate regular reports on fleet performance, costs, safety, and utilization
  • Use data-driven insights to guide strategic decisions
  • Present findings and recommendations to leadership

Required Qualifications
  • Bachelor's degree in Business, Logistics, Supply Chain, or related field (or equivalent experience)
  • Proven experience managing a fleet of 300+ vehicles
  • Experience working with fleet management companies or outsourced fleet services
  • Strong experience with telematics and fleet software (Samsara preferred)
  • In-depth knowledge of DOT, FMCSA, and vehicle compliance regulations
  • Strong analytical, organizational, and problem-solving skills
  • Proficiency in Microsoft Excel and fleet management systems

Preferred Qualifications
  • Certifications such as CAFM (Certified Automotive Fleet Manager) or similar
  • Experience in construction, HVAC, or service-based industries
  • Familiarity with fuel card systems and maintenance tracking software
