The Customer Service Representative / Order Entry Specialist is a vital member of the team, serving as the primary point of contact for customers while ensuring every order is processed accurately, efficiently, and with exceptional attention to detail. This role plays a key part in supporting sales operations by managing the full order lifecycle, responding to customer inquiries, and collaborating closely with production, logistics, and accounting to ensure a smooth customer experience.

Responsibilities

  • Serve as primary contact for customer inquiries via phone and email
  • Provide product information, pricing, order status, and shipping details
  • Resolve customer issues, complaints, and discrepancies in a professional and timely manner
  • Build strong working relationships with key accounts and distributors
  • Accurately enter and process customer orders into Oracle
  • Review orders for pricing, availability, lead times, and accuracy
  • Manage order changes, cancellations, and updates
  • Monitor order status and proactively communicate delays or issues
  • Work closely with sales, production, scheduling, and logistics teams to ensure on-time delivery
  • Coordinate with the warehouse and shipping departments on order fulfillment
  • Partner with accounting on billing, invoicing, and credit issues


Ideal Experience

  • High school diploma required; associate or bachelor’s degree preferred.
  • 3+ years of experience in customer service, order entry, or inside sales support (manufacturing or distribution strongly preferred).
  • Strong attention to detail and accuracy in data entry.
  • Excellent communication and interpersonal skills with an emphasis on customer focus.
  • Ability to multitask and manage a high-volume workload.
