Executive Assistant to Founder & CEO
tarte cosmetics is looking for a socially-savvy Executive Assistant to our Founder & CEO based in the Miami, FL area, with ability to commute 2x a week to the Key Largo, FL area. The EA will be responsible for CEO logistics, calendar coordination, travel & expense management, & serve as a liaison between departments. The ideal candidate has previous experience in an Executive/Personal Assistant role. This position will involve extensive travel including domestic & international.
Responsibilities:
  • Manage & serve as the liaison across all departments to maintain & organize the CEO's calendar; schedule meetings, appointments, travel arrangements, etc. Ensure necessary briefs & documents have been provided for meetings & engagements
  • Help with logistics for on-site photoshoots, events, etc.
  • Monitor & reconcile expenses, maintaining meticulous records & adhering to budget guidelines
  • Handle sensitive information with the utmost discretion & professionalism

Requirements:
  • Previous experience as an Executive or Personal Assistant, in a role involving calendar coordination, planning, travel coordination, personal assistant responsibilities, etc.
  • Previous experience as a personal assistant, supporting VIP or Celebrity is a plus
  • Proficiency in calendar management tools & office software
  • Exceptional organizational skills, with a keen eye for detail
  • Excellent written & verbal communication skills
  • Proactive & adaptable, with the ability to thrive in a fast-paced environment
  • Flexibility in work hours, must be available weekends & evenings with ability to travel often
  • Hybrid onsite in greater Florida Keys area (able to commute from Miami 2x per week)
  • Proficiency with AI tools (Claude, ChatGPT, Gemini, etc)
