This role is the backbone of our daily operations - supporting billing, accounting processes, compliance, and office coordination. If you take pride in accuracy, staying organized, and keeping things running smoothly behind the scenes, this could be a great fit. What You' ll Be Responsible For: This role supports daily, weekly, monthly, and as-needed office and financial operations: Daily Responsibilities: Customer billing, proofing, and filing Tracking route customers and service labor billing Processing cash receipts and preparing deposits Maintaining customer ledgers and files (keeping everything current and organized) Taking bank deposits as needed Maintaining checkbook and internal financial tracking Weekly Responsibilities: Payroll reports and journal entries 401(k) deposits Time and leave tracking Processing credit card payments (Payments Hub) Monthly Responsibilities: Generating customer statements Completing bank reconciliations Managing month-end A/R processes Tracking specialty billing (A202, A202TBB, non-stock items) Preparing chemical labels As-Needed Responsibilities: Collection letters and debt follow-up Contracts and quotes support Insurance audits (Workers Comp & Business Insurance) Advertising coordination (Lux Marketing, Lely, BouMatic, VSDA) Employee benefits administration (IRA, health insurance, Aflac) Processing new hires, terminations, and hiring ads Insurance allocations (health, business, Aflac, workers comp) Maintaining software systems (Hawk Security, training platforms) Tracking employee training (Lely, BouMatic) Customer credit references Annual regulatory filings (EPA, FDA, VDAC, DPOR, etc.) Travel arrangements for service technicians General file maintenance, organization, and office support What You Bring: We' re looking for someone who takes pride in doing things right: 2+ years of administrative, accounting, or office support experience Strong Excel and computer skills (this is a must) High attention to detail (seriously— this matters here) Ability to stay organized and manage multiple responsibilities Strong communication and follow-through Experience with accounting systems is helpful— especially as we transition to ODOO.
