Job Title: HR & Payroll Administrative Assistant
Role Overview
We are seeking an energetic, highly structured, dependable, and detail-oriented HR & Payroll Administrative Assistant to join our human resources team on a temporary contractual basis. In this role, you will be responsible for managing and maintaining accurate, complete employee personnel files, supporting payroll processing efforts, conducting system audits, and ensuring strict compliance with document retention and confidentiality standards.
This is an essential, detail-driven operational role combining HR records management with payroll administration. You will review new hire paperwork, audit electronic and physical personnel files against HRIS reports, process document uploads, and coordinate file archiving or destruction in accordance with company policy. If you possess exceptional organizational skills, strict discretion, and a methodical approach to administrative workflows, we want to hear from you.
Key Responsibilities
Personnel File Management & Auditing
• File Maintenance: Manage, organize, and maintain accurate, complete, and confidential employee personnel files (both physical and electronic).
• Compliance Audits: Conduct thorough audits and reviews of existing electronic and physical files to ensure all documentation is complete, accurate, and properly aligned.
• Document Processing: Review new hire paperwork for completeness, process personnel document uploads, and track file locations using secure file room logs.
• Records Archiving: Prepare historical records for off-site storage and securely shred outdated personnel files in accordance with retention guidelines.
Payroll & HRIS Support
• Payroll Assistance: Support the payroll team with data entry, intake form submissions, and routine payroll processing tasks.
• System Audits: Run, review, and audit HRIS/Payroll system reports (e.g., UKG or similar platforms) to identify discrepancies and ensure data integrity.

Minimum Qualifications
• Education: High School Diploma or equivalent required.
