Job Summary:
The Temporary Events Associate provides administrative and programmatic support to the Chicago Booth Office of Advancement Events Team. This position is expected to last six months.
Responsibilities:
  • Assist the Office of Advancement Events Team with short-term, long-term, and ad hoc projects.
  • Support in-person, virtual, and hybrid events.
  • Learn the online event registration system, Cvent.
  • Assist in organizing event planning meetings including reserving space, updating and distributing meeting agendas, notes, and other materials.
  • Support event logistics including ordering, packing, and shipping event supplies and printing materials such as nametags, briefings, and registration lists.
  • Provide onsite assistance at events, as requested.
  • Utilize Phoenix, the alumni database of record, to look up, track, and report on event related data.
  • Create basic event briefings and event-related communications.
  • Support the Events Team with invoices and vendor payments, expenses, and budget tracking.
  • Provide pre-event in-office support.
  • Other administrative duties as required.

  • Outstanding verbal and written communications with an attention to grammar and spelling, and presentation skills.
  • Excellent time management, organizational skills, attention to detail, basic math, and finance skills.
  • Work independently, possess personal accountability, and a self-motivated disposition.
  • Handle multiple detailed tasks/projects simultaneously and meet strict deadlines with frequent interruptions.
  • Professional demeanor, including tact, discretion, and a customer service-oriented approach.

Additional Responsibilities
Education, Experience, or Certifications:
Education:
  • Bachelor's degree required.

Experience:
  • A minimum of one year of event support and coordination experience preferred.

Technical Knowledge or Skills:
  • High proficiency in Microsoft Word, Outlook, PowerPoint, Excel, Zoom, Box, and Google Suite (Drive, Sheets, Docs, and Forms) required.
  • Proficiency working with event registration platform Cvent preferred.
  • Familiarity with Salesforce preferred.

Working Conditions and Physical Requirements:
  • This position is currently expected to work a minimum three days per week in the office.
  • Some evening and weekend hours may be required, with advance notice.
