The Opportunity
The Flight Records Support position provides administrative and operational support for student onboarding, flight registration, and records management processes within the department. This role plays a key part in ensuring incoming students are properly onboarded, documentation is reviewed and validated accurately, and students are enrolled in the appropriate flight training blocks. The position also supports student communications and assists with maintaining efficient records and registration processes during peak onboarding periods.
Key Responsibilities
Support Summer and Fall Onboarding Processes
  • Contact students to schedule appointments for document scanning and onboarding support
  • Index student ATSA documentation within the imaging system
  • Review and validate ATSA documentation for incoming students
  • Assist with managing records-related holds and grounds within ETA

Support Flight Registration Processes
  • Verify that incoming Aeronautical Science students have met all prerequisites for flight course enrollment
  • Assist with FACR start assignments based on criteria such as VA status, international status, and validated documentation
  • Audit and confirm student registration within the appropriate flight block corresponding to current flight course enrollment
  • Assist with grounds processing and flight block enrollments related to students' summer training schedules

Assist with Flight Records Communications
  • Respond to emails and assist incoming students with onboarding-related questions
  • Triage and manage emails within the shared inbox

This is a remote temporary position. Candidates hired into this role will work remotely for the duration of the temporary assignment.
Qualifications
Required Education and Qualifications:
  • High school diploma or equivalent
  • Strong organizational and administrative skills with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Strong customer service skills and ability to communicate professionally with students and staff
  • Proficiency with Microsoft Office Suite and standard office technology
  • Ability to handle confidential student information with discretion and professionalism

Preferred Qualifications
  • Previous experience in higher education, student services, records management, or administrative support
  • Experience working with student information systems, imaging systems, or database platforms
  • Familiarity with onboarding, registration, or records processes
  • Experience supporting aviation, flight operations, or academic programs preferred
