Position Summary
San Diego State University is looking for a collaborative and analytical Administrative Analyst/Specialist to support project and portfolio coordination efforts within the Information Technology Division. In this role, you'll help coordinate division-wide initiatives, support operational and financial processes, and contribute to the planning, tracking, and continuous improvement of projects that support the university's technology services and infrastructure.
Key Responsibilities:
- Project & Portfolio Coordination
- Coordinate cross-departmental IT projects, including tracking timelines, deliverables, dependencies, and progress updates.
- Support communication and collaboration across multiple IT functional areas to ensure alignment and project visibility.
- Monitor project activities, identify risks or issues, and support escalation and resolution processes.
- Maintain project tracking tools, documentation, and portfolio reporting resources.
- Reporting, Process Improvement & Documentation
- Compile and analyze project and operational data to support reporting and decision-making.
- Develop recurring reports, summaries, and dashboards for divisional leadership.
- Create and maintain standardized templates, procedures, and documentation repositories.
- Identify opportunities to improve business processes, workflows, and operational efficiency.
- Budget, Procurement & Operational Support
- Support purchasing and procurement activities, including purchase orders, invoices, reconciliations, and vendor coordination.
- Assist with budget tracking, expense transfers, financial transactions, and operational reporting.
- Provide administrative and operational support for assigned IT Division initiatives and activities.
- Support onboarding coordination, scheduling, and general administrative functions within IT Finance & Administration.
- Collaboration & Communication
- Serve as a resource for divisional policies, procedures, and operational processes.
- Work collaboratively with cross-functional teams and campus stakeholders to support project and operational goals.
- Contribute to division-wide coordination efforts that improve consistency, visibility, and alignment across IT initiatives.

Position Information
- This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position.
- This position is designated as exempt under FLSA and is not eligible for overtime compensation.
- Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
- This position is eligible for telecommuting up to 3 days per week, with onsite work in San Diego.
Department Summary
A unit of the Information Technology Division (ITD), the mission of Information Technology Finance & Administration (ITFA) is to support the IT Division's mission by managing a wide array of operations supporting all business functions.
ITFA manages all IT finances, software renewals, resources, hospitality, and provides administrative support to all leadership, staff, and student workers. In addition, ITFA provides direct support to the Chief Information Officer (CIO) and supports division-wide coordination of business operations.
As the division evolves, ITFA also supports project and portfolio coordination activities to improve visibility, consistency, and alignment of project work across the IT Division.

Education and Experience
Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
Key Qualifications
- Demonstrated ability to coordinate and support cross-functional projects in a complex organizational environment, including tracking timelines, deliverables, and dependencies across multiple teams.
- Strong analytical, organizational, and problem-solving skills, with the ability to collect, interpret, and synthesize information from multiple sources to support project tracking, reporting, and decision-making.
- Ability to organize and manage multiple priorities in a dynamic environment while maintaining accuracy, attention to detail, and meeting established deadlines.
- Ability to develop, document, and improve business processes and standard operating procedures, including identifying inefficiencies and recommending practical solutions.
- Strong written and verbal communication skills, with the ability to effectively present information to technical and non-technical audiences.
- Demonstrated ability to build and maintain effective working relationships and facilitate collaboration among diverse stakeholders and organizational units.
- Working knowledge of project coordination and administrative support practices, including project tracking, reporting, documentation, and records management.
- Experience using enterprise systems and software applications such as Microsoft Office Suite and other tracking, reporting, or operational tools to support project and administrative activities.
- Preferred Qualifications:
- Experience supporting or coordinating projects, initiatives, or cross-functional teams within a higher education, public sector, or similarly complex organization.
- Experience developing or maintaining process documentation, workflows, or standard operating procedures.
- Experience using enterprise systems or project tracking platforms such as Oracle, ServiceNow, Adaptive, or similar systems.
- Bachelor's degree from an accredited university in business, finance, public administration, or a related field.

Compensation:
Step placement will be determined based on relevant qualifications and professional experience, in alignment with the department's budget and equity guidelines.
- Initial step placement is not expected to exceed Step 1 ($5,797).
- Salary step placement for internal applicants will follow the CSUEU Collective Bargaining Agreement.
- CSU Classification Salary Range: $5,797 - $8,445 per month (Step 1 - Step 20).
- Future increases, including step advancements, are subject to contract negotiations.
