Position Summary

The Technical Proposal Writer is responsible for developing compelling, compliant, and client-focused proposals in response to tenders, RFQs, and RFPs. Working with estimators, project managers, business development teams, and subject matter experts, this role translates technical, operational, and commercial information into persuasive submissions that showcase the company's capabilities and value proposition.

The role also develops and maintains technical and internal business documentation, including project reports, specifications, standard operating procedures, presentations, and other operational materials. The Technical Proposal Writer ensures all documentation is accurate, consistent, and aligned with company standards, client requirements, and regulatory guidelines.
The ideal candidate is an organized and detail-oriented communicator with strong writing, editing, and project coordination skills who thrives in a collaborative, deadline-driven environment.

Main Responsibilities

•    Lead the planning, development, writing, editing, and submission of proposals, RFQs, RFPs, and tender responses.
•    Collaborate with operations, estimating, business development, and subject matter experts to gather and validate proposal content.
•    Tailor proposal content to client requirements while highlighting the company's qualifications, experience, and value proposition.
•    Develop and maintain technical and business documentation, including procedures, specifications, reports, presentations, and project-related materials.
•    Translate complex technical information into clear, concise, and audience-appropriate content.
•    Review and edit documents to ensure consistency, accuracy, professionalism, and compliance.
•    Maintain proposal content libraries, templates, and document control processes.
•    Create visual content, graphics, diagrams, and presentation materials that enhance messaging and readability.
•    Conduct quality assurance reviews to ensure adherence to client requirements, regulatory standards, and company guidelines.
•    Support business development and marketing initiatives through the creation of client-facing materials and communications.

Strategic Responsibilities

•    Establish and maintain documentation standards, templates, and best practices for proposal and technical content.
•    Drive continuous improvement of proposal development processes, tools, and content management practices.
•    Monitor and report on proposal activity, success rates, and process improvement opportunities.
•    Ensure proposal and technical materials align with corporate branding, messaging, and strategic objectives.
•    Foster cross-functional collaboration and knowledge sharing to improve the quality and effectiveness of submissions and documentation.

Qualifications

Education & Experience
•    Bachelor’s Degree in Business, Marketing, Communications, Construction Management, Engineering, or a related field.
•    5+ years of experience in proposal development, business communications, marketing, document management, or a related role.
•    Technical Writing and/or Communication certifications considered an asset.
•    Experience within the construction, infrastructure, engineering, or industrial sectors is considered an asset.

Technical Requirements
•    Advanced proficiency in Microsoft 365 suite, especially Word and Powerpoint
•    Proficient to advanced proficiency in Adobe Creative Cloud, including InDesign, Illustrator, Photoshop, and Acrobat.
•    Experience creating professional proposals, presentations, infographics, and branded business documents.
•    Experience with document management systems, CRM platforms, and content management systems is an asset.
•    Experience using AI-powered productivity and content development tools is considered an asset.
