Job description

BUSINESS ANALYST II

Location; Newport Beach, CA

JOB DESCRIPTION

The Business Analyst supports the design and implementation of a structured fraud logging capability within ServiceNow. This role focuses on requirements analysis, process design, screen mockups, workflow documentation, and historical data migration planning rather than hands-on platform configuration. The position works closely with business subject matter experts, the ServiceNow platform team, data owners, and information security and privacy stakeholders to translate fraud and operational risk requirements into clear, build-ready specifications.

KEY RESPONSIBILITIES

  • Facilitate working sessions and interviews with business subject matter experts to document current-state fraud intake and logging processes, including roles, handoffs, and data requirements.
  • Translate business requirements into prioritized user stories and acceptance criteria for platform development.
  • Define the fraud record data model, including required and optional fields, categories, statuses, severity and priority logic, validation rules, and reporting requirements.
  • Conduct industry benchmarking to identify fraud logging practices, field structures, screen layouts, categorization approaches, and workflow patterns.
  • Develop screen mockups and wireframes for the target-state fraud logging interface and refine designs based on stakeholder feedback.
  • Annotate mockups with field definitions, required and conditional logic, behaviors, and validation rules to support platform development.
  • Map and document the target-state fraud logging workflow, including intake, triage, assignment, review, and closure.
  • Document roles, responsibilities, decision points, statuses, service-level agreements, and escalation paths.
  • Develop process maps and supporting documentation that align workflow requirements with screen designs.
  • Create user-facing job aids and workflow guides for fraud loggers and reviewers.
  • Inventory and profile historical fraud data from SharePoint, including lists, libraries, spreadsheets, and documents.
  • Develop source-to-target field mappings between SharePoint data and the target ServiceNow fraud data model.
  • Define data cleansing, standardization, de-duplication, reconciliation, and validation requirements for historical data migration.
  • Coordinate the migration approach with the ServiceNow platform team and maintain documentation of mapping and audit requirements.
  • Maintain version-controlled requirements, mockups, data mappings, process documentation, and project decisions.
  • Track risks, assumptions, issues, and dependencies and escalate as appropriate.
  • Coordinate across operational risk and resilience, the ServiceNow platform team, data owners, and information security and privacy stakeholders.
  • Support user acceptance testing by developing test cases and assisting with test execution and defect resolution.
  • Produce requirements, workflow documentation, screen designs, data models, migration mappings, training materials, and UAT documentation to support successful platform delivery.

QUALIFICATIONS

  • 3+ years of experience as a Business Analyst supporting system implementation, workflow, or process design projects.
  • Strong requirements elicitation and facilitation skills with demonstrated experience partnering closely with business subject matter experts.
  • Experience developing screen mockups or wireframes and translating designs into build-ready specifications using tools such as Figma, Lucid, Balsamiq, Visio, or similar.
  • Experience with process mapping and workflow documentation.
  • Experience conducting industry benchmarking or competitive research to inform solution design.
  • Proficiency in data analysis and Excel for data profiling and validation.
  • Ability to work with sensitive information while maintaining appropriate confidentiality, privacy, and access controls.
  • Background in fraud, investigations, financial crime, or operational risk preferred.
  • Experience within life insurance or broader financial services preferred.
  • Familiarity with ServiceNow, including IRM/GRC, Case Management, or custom/scoped applications, preferred.
  • Experience using SharePoint as a data source and supporting data migration mapping preferred.
  • Understanding of governance, risk, and compliance concepts and audit-ready documentation practices preferred.
  • Experience supporting user acceptance testing and training rollouts preferred.

MUST HAVE

  • 5+ years as a Business Analyst on system implementation, workflow, or process-design projects.
  • Data analysis proficiency (Excel required) for profiling and validating datasets.
  • Demonstrated ability to produce screen mockups / wireframes and translate them into build-ready specifications (e.g., Figma, Lucid, Balsamiq, Visio, or similar).
  • Process mapping and workflow documentation experience.
  • Strong requirements elicitation and facilitation skills, with a track record of working closely with business SMEs.

NICE TO HAVE

  • Background in fraud, investigations, financial crime, or operational risk — ideally in life insurance or broader financial services.
  • Experience supporting UAT and training rollout.
  • Experience with SharePoint as a data source and with data migration mapping.
  • Exposure to governance, risk, and compliance concepts and audit-ready documentation practices.
  • Familiarity with ServiceNow (IRM/GRC, Case Management, or custom/scoped apps) as the target platform.
