This role is central to maintaining Good Documentation Practices (GDP) compliance across production, inventory, and quality records, and to keeping our documentation accurate, legible, and audit-ready at all times.

The Quality Systems Associate will review documents for adherence to GDP standards, support inventory builds and transactions within our ERP system, and assist with filing, organization, and other quality systems tasks as needed. This position requires strong attention to detail, a methodical approach to documentation review, and the flexibility to support the broader Quality team across shifting priorities.

KEY RESPONSIBILITIES:

•Review production, batch, and quality documents for adherence to Good Documentation Practices (GDP), including accuracy, completeness, and legibility.

•Identify documentation errors, omissions, illegible entries, or inconsistencies and route them for correction prior to final approval.

•Verify that entries are properly dated, initialed, and free of unauthorized corrections or alterations.

•Support inventory builds and transactions within the ERP system, ensuring records match physical inventory and supporting documentation.

•Assist with maintaining organized, accurate, and easily retrievable quality and inventory files, both physical and electronic.

•File, scan, and archive completed documentation according to internal recordkeeping and retention procedures.

•Support internal audits and inspections by helping locate, organize, and prepare requested documentation.

•Flag recurring documentation issues or trends to the Quality team for corrective action.

•Assist with updating and maintaining logs, forms, and templates used across quality and inventory processes.

•Collaborate with Production, Inventory, and Quality teams to resolve documentation discrepancies.

•Maintain confidentiality and integrity of quality records at all times.

•Perform other quality systems, inventory, or administrative tasks as assigned.

•Strong attention to detail with the ability to catch errors and inconsistencies in written documentation.

•Comfortable with repetitive, detail-heavy review work over extended periods.

•Proficient with Microsoft Excel, Google Sheets, and general office filing systems.

•Strong organizational skills and the ability to manage multiple documentation tasks simultaneously.

•Clear written and verbal communication skills.

•High school diploma or equivalent required.

PREFERRED QUALIFICATIONS

•Experience in a cGMP, GDP, or regulated consumer products environment (cosmetics, supplements, food, pharmaceuticals, etc.).

•Experience supporting internal or external quality audits.

•Experience with inventory builds, bills of materials, or production documentation in an ERP system.

•Bilingual English/Spanish preferred.

PHYSICAL AND WORK REQUIREMENTS

•Ability to sit or stand for extended periods while reviewing documentation.

•Ability to move between office, warehouse, and production areas as needed.

•Ability to lift and move up to 25 pounds occasionally.
