Primary Purpose:

Provides administrative support for the Museum's Education department to ensure an efficient operation and coordination of all related museum programs.

Job Category: Non-Exempt

Hiring Range:  Commensurate with experience

Pay Basis:  Hourly

Essential Job Functions: 

1. Responds to inquiries to Education department and resolves complex problems requiring broad understanding of work-area policies and procedures to ensure questions are answered and issues resolved in a timely manner.
2. Process Ariba accounts payable requests and generate reports from NSU specific software systems to ensure accurate processing and record-keeping.
3. Assists the Curator of Education in the development, production and distribution of teacher resources, family guides and community outreach materials to ensure a professional outcome.
4. Assists the Curator of Education in the development, execution, and scheduling of workshops, lectures, programs and events based on exhibitions and collections to ensure efficient operations.
5. Coordinates K-12 school tours in collaboration with Visitor Services and group sales student workers.
6. Collects/compiles attendance and demographic information for Museum outreach programs. Submits data for grant purposes on a timely and consistent basis.
7. Provides work scheduling and support for the Museum's docent program to ensure efficient use of docents within the Museum.
8. Monitors Education department staff interns to ensure smooth operation.
9. Schedule student workers and/or volunteers for PCI training and arrange for all Education staff to attend special trainings and workshops on exhibition and other related information.
10. Create virtual education content, assist in program research, development and evaluations under the direction of the Curator of Education.
11. Assist in arranging guest lecturers, space reservation and equipment needs.
12. Conducts exhibition tours, art history lectures and activities in virtual and in-person settings.
13. Assist with group sales phone calls, correspondence and coordination of collecting data and surveys from participants.
14. Performs other duties as assigned by supervisor.

Job Requirements: 

Required Knowledge, Skills, & Abilities: 1. Proficient knowledge of MS Office, including Word, Excel, Adobe Suite, Outlook; data entry skills; Internet research abilities
2. Knowledge of office practices and procedures (e.g., filing, answering telephones, and supply/equipment ordering).
3. Ability to enter and verify information with accuracy.
4. Ability to understand and follow oral and written instructions.
5. Ability to maintain confidential information.
6. Strong administration skills - organized, thorough, systems orientated with meticulous attention to detail.
7. Proactive, punctual and reliable, ability to work flexible hours, days and weekends.
8. Excellent written and oral communication skills.
9. Ability to manage multiple projects concurrently.
10. Should be able to collaborate effectively with various departments.
11. Must be able to interact comfortably with a broad range of museum constituents, including school age children and senior citizens.
PHYSICAL REQUIREMENTS / WORKING CONDITIONS:
1. Ability to communicate effectively with others.
2. Ability to work cooperatively with colleagues and supervisory staff at all levels.
3. May be exposed to short, intermittent, and/or prolonged periods of sitting and/or standing in performance of job duties.
4. May be required to accomplish job duties using various types of equipment/supplies, to include but not be limited to pens, pencils, computer keyboards, computer mouse, and projectors.

Required Certifications/Licensures: 

Required Education: Bachelor's Degree

Major (if required: 

Required Experience: One (1) to two (2) years of administrative experience in an office environment, and/or coordinating a function within an office.

Preferred Qualifications: 

Experience in a cultural or educational institution.
