Responsibilities
  • Greet and assist visitors, vendors, and investors.
  • Perform various front office support tasks: routing voicemail, scheduling appointments, purchasing supplies, office related errands, ordering groceries and lunches, and managing corporate vendors and software accounts.
  • Maintain organization and cleanliness of the office space, conference rooms, kitchen, and storage spaces.
  • Host onsite meetings, including scheduling, sending reminders, ordering catering, greeting guests, and completing follow-up tasks.
  • Manage conference room calendars.
  • Manage the shared 'facilities' inbox, auditing and escalating work orders as needed.
  • Manage confidential and sensitive information/documents with discretion.
  • Sort and distribute incoming mail.
  • Coordinate outgoing mail and courier services.
  • Coordinate document signing and delivery of signed documents to the appropriate parties.
  • Maintain office equipment and accounts (e.g., FedEx, USPS, Shred It).
  • Manage facilities and schedule janitorial service for Corporate Guest Suite.
  • Track/submit credit card and accounts payable expenses and complete monthly coding.
  • Partner with Office Management on various other projects related to facilities and office improvements.
  • Other cross-departmental support duties as assigned.
Requirements

Education:

  • Bachelor's degree preferred.
  • High School Diploma or GED

Experience:

  • 2+ years of relevant Administrative Assistant work in an office environment experience required.

Skills/Abilities:

  • Strong interpersonal, oral and written communication skills.
  • Exceptional communication skills and ability to interact with wide range of people.
  • Must be organized, detail oriented and have good time management skills.
  • Entrepreneurial mindset – loves to be challenged, determined to win, puts clients and teammates first, collaborative, inquisitive, self-motivated, and operates on trust.
  • High integrity – trusted, direct, truthful. Embodies confidence and admits mistakes.
  • Ability to perform the physical functions of the position, which may include, but are not limited to ability to walk property, including up to 4 flights of stairs.
  • Maintain neat, well-groomed, professional appearance.
Compensation and Benefits for Office Administrative Assistant:

Pay Range: $25.50 - $33.27/hour

Compensation is determined by several factors that vary depending on the position, including the individual's experience, skills, and the knowledge they bring to the specific role.
