Job description

The Department of Residence Life seeks a Housing Operations Manager to manage all aspects of housing operations for the MCPHS Boston and Worcester campuses. Reporting to the Director of Residence Life, the housing operations manager is the lead for housing assignments, occupancy management, key management, opening/closing, and various additional residential logistics. This is a full-time, live-off position based in Boston and requires the ability to work on campus 4 days per week with one remote day.

Operations (80%)

  • Serve as the lead administrator of The Housing Director- Adirondack housing management software. Responsible for all housing assignments for Boston and Worcester residential students for our year-round residential operations.
  • Manage the development and implementation of all housing processes including the room selection process and assignment process for both new and returning students.
  • Develop, coordinate, and distribute all housing communications to students, families, and campus partners regarding housing applications, assignments, room selection, move-in, move-out, break housing, and operational deadlines.
  • Ensure the accuracy and integrity of housing data across all university systems through regular audits, reconciliation, and quality assurance processes.
  • Manage the room change process working with students and staff to facilitate the move, key exchange, and appropriate database updates.
  • Maintain rosters, room inventory, and occupancy reports for all residential buildings including spaces owned by MCPHS and spaces shared with area colleges
  • Work closely with campus partners like Student Financial Services (SFS), Student Accounts, Office of Admission, Office of Student Access and Accommodations (OSAA), and the Registrar's Office.
  • Oversee full residential key inventory, including processing lost keys, issuing fees as necessary, preparing keys for distribution at move-in, and processing and storing keys upon move-out.
  • Develop and maintain historical and predictive reporting related to housing occupancy, applicant conversion, deposit yield, summer melt, and future residential demand.

Residence Life General (20%)

  • Manage Residence Life inbox and department phone calls and responds to student questions regarding housing and housing needs.
  • Support Residence Life operations and functions, including move-in and move-out, Resident Assistant training, orientation, etc.
  • Serve as a member of the Division of Student Affairs and attend training and professional development opportunities and support initiatives and programs like commencement and orientation.
  • Additional responsibilities may be assigned by supervisor.

Required:

  • Bachelor's degree in Higher Education or related field, Masters preferred.
  • At least two years of post-graduate experience in college residential living environments and in facilitating technical administrative processes (preferred).
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities and meet deadlines.
  • Demonstrated experience with housing software (Adirondack or related housing management systems).
  • Demonstrated experience with efficiently and accurately manipulating large data sets in Microsoft Excel.
  • Ability to perform well under pressure and demonstrate problem-solving skills.
  • Ability to exercise exceptional judgment, ensure strict privacy of student information, and demonstrate outstanding professionalism across a range of situations.

Physical Requirements:

  • Standing, sitting, manual dexterity, ability to be mobile between buildings and office area.
  • Manual dexterity to use computer, maintain files.
  • Ability to be physically in attendance at designated worksite during schedule work hours. After-hours work may be necessary for events.
