Job Purpose:
Guidon is seeking a detail-oriented, highly organized, and proactive Legal Compliance Analyst to support the Company's legal, compliance, contracting, licensing, and certification functions. Reporting directly to the General Counsel, this position will help maintain the Company's legal and regulatory obligations while supporting contract administration, professional licensing, business registrations, supplier diversity certifications, corporate records, compliance calendars, and risk management initiatives.
This role is designed for a professional who enjoys working across departments, managing deadline-driven processes, improving systems, and helping build the operational foundation of a growing legal function. The successful candidate will demonstrate strong judgment, confidentiality, follow-through, and the ability to identify issues early and escalate them appropriately.
Qualifications:
  • Bachelor's degree preferred.
  • Prior legal, paralegal, or professional experience is preferred, particularly in a corporate or in-house legal environment.
  • Prior experience with Deltek Vantagepoint or similar ERP strongly preferred.

  • Strong written and verbal communication skills, including the ability to communicate professionally with internal stakeholders and external agencies.

Responsibilities:
Contract Administration and Legal Operations
  • Support the administration and lifecycle management of owner agreements, subconsultant agreements, vendor agreements, non-disclosure agreements, amendments, and other legal documents.
  • Coordinate contract intake, review routing, approvals, signatures, filing, and retention in accordance with Company procedures.
  • Maintain contract databases, tracking logs, templates, executed agreements, and related records.
  • Monitor key contract obligations, including expiration dates, renewal deadlines, notice requirements, insurance requirements, and deliverable-related obligations.
Licensing, Registrations, and Corporate Compliance
  • Track and coordinate Company business registrations, foreign qualifications, annual reports, registered agent matters, and Secretary of State filings.
  • Support professional licensing and firm registration activities for architecture, engineering, and related professional services jurisdictions.
  • Maintain licensing calendars, renewal trackers, entity records, and professional registration files.
  • Research licensing and registration requirements for new jurisdictions and coordinate application materials under the direction of the General Counsel.
  • Support corporate governance recordkeeping, including resolutions, consents, minutes, certificates, entity documents, ownership records, and related compliance files.
Certification and Supplier Diversity Programs
  • Coordinate compliance activities related to VBE, DBE, SDVOSB, SBA, and other supplier diversity or business certification programs applicable to the Company.
  • Prepare and maintain certification applications, renewals, questionnaires, affidavits, supporting documentation, ownership records, and agency correspondence.
  • Monitor certification expiration dates, renewal windows, reporting requirements, and change-notification obligations.
  • Assist with audits, reviews, site visits, agency inquiries, and document requests related to certification programs.
  • Maintain organized certification files to support continued eligibility, timely renewals, and Company use of certification credentials in proposals and client submissions.
Compliance, Risk Management, and Department Support
  • Support implementation and administration of legal and compliance policies, procedures, calendars, and tracking systems.
  • Coordinate document collection, file organization, and status tracking for legal matters and compliance initiatives.
  • Prepare reports, presentations, correspondence, checklists, summaries, and process documentation for the General Counsel and internal stakeholders.
  • Perform other legal, compliance, and administrative duties as assigned, consistent with the hourly, non-exempt nature of the role.
Vantagepoint
  • Execute reporting, tracking and file management within Vantagepoint whenever possible
  • Identify ways that Vantagepoint could be utilized to support legal and compliance functions
