Job description

Executive Assistant – Behavioral Health / Substance Use Disorder Treatment


Location: Boca Raton, FL
Schedule: Full-time
Compensation: $65,000–$90,000 annually, based on experience


Position Overview

We are seeking a highly organized, detail-oriented Executive Assistant with direct experience in behavioral health, substance use disorder (SUD) treatment, or addiction treatment services.


This is a high-demand position supporting the Chief Revenue Officer and Director of Operations within a rapidly growing behavioral healthcare organization. The ideal candidate understands the fast-paced nature of a treatment center environment and is comfortable managing competing priorities, sensitive information, operational deadlines, and communication across clinical, administrative, admissions, billing, and executive teams.


This position is especially well suited for someone who has previously worked within a detox, residential, PHP, IOP, outpatient, or other substance use disorder treatment setting and has developed a strong understanding of how behavioral healthcare organizations operate.


The successful candidate will be exceptionally thorough, proactive, organized, and communicative, with the ability to anticipate needs and ensure important details do not fall through the cracks.


Key Responsibilities

Executive & Administrative Support

  • Provide direct administrative and operational support to the Chief Revenue Officer and Director of Operations
  • Manage executive calendars, meetings, scheduling priorities, and follow-up communication
  • Prepare agendas, reports, supporting data, and documentation for executive and operational meetings
  • Track action items, deadlines, projects, and deliverables across multiple departments
  • Maintain highly organized executive files, records, reports, and internal documentation
  • Help ensure leadership is informed of outstanding issues, deadlines, and operational priorities
  • Communicate professionally and thoroughly with internal staff, external partners, vendors, and other stakeholders
  • Assist leadership with monitoring facility performance and key operational metrics


Behavioral Health Operations Support

  • Support day-to-day administrative needs associated with behavioral health and substance use disorder treatment operations
  • Coordinate information between executive leadership, admissions, clinical, operations, HR, billing, and other departments
  • Maintain familiarity with treatment-center terminology, workflows, and operational priorities
  • Assist with census tracking, admissions activity, insurance verification activity, revenue-cycle metrics, and other facility KPIs
  • Handle confidential client, clinical, HR, and financial information with a high level of discretion
  • Help identify outstanding items and follow up with appropriate departments to ensure completion
  • Support special projects related to organizational growth, facility operations, revenue cycle, and process improvement


Hiring & Talent Coordination

  • Assist with resume review and candidate screening for positions across multiple departments
  • Coordinate interviews between candidates, hiring managers, and executive leadership
  • Support reference checks, interview follow-up, and onboarding logistics
  • Maintain organized candidate and hiring records
  • Ensure consistent and timely communication throughout the recruitment and onboarding process


Data, Reporting & Analytics Support

  • Extract, organize, and compile information from EMRs, billing platforms, spreadsheets, and internal reporting systems
  • Maintain recurring executive reports and dashboards
  • Track metrics including census, collections, VOB activity, claims, reimbursement trends, and other operational KPIs
  • Review reports for completeness and accuracy before presentation to leadership
  • Organize complex information into clear, usable reports for executive decision-making
  • Develop an understanding of how operational and clinical activity impacts facility performance and revenue


Required Qualifications

  • 3+ years of experience as an Executive Assistant, Operations Assistant, Administrative Coordinator, Project Coordinator, or similar position
  • Behavioral health, addiction treatment, or substance use disorder experience strongly preferred
  • Previous experience working within a treatment center, behavioral health facility, healthcare organization, or closely related environment
  • Exceptional organizational and time-management skills
  • Strong attention to detail and commitment to accuracy
  • Excellent written and verbal communication skills
  • Ability to communicate clearly, professionally, and thoroughly with multiple departments and levels of leadership
  • Ability to manage numerous priorities, deadlines, and follow-up items simultaneously
  • Strong proficiency with Google Workspace and/or Microsoft Office
  • Comfortable working extensively within Excel and/or Google Sheets
  • Ability to review, organize, and interpret operational data and performance metrics
  • Strong discretion when handling confidential clinical, financial, employee, and organizational information
  • Self-directed and proactive, with the ability to identify what needs to be completed without requiring constant oversight


Preferred Qualifications

  • Direct experience within substance use disorder or addiction treatment
  • Experience in a detox, residential, PHP, IOP, or outpatient behavioral health program
  • Previous support of C-suite executives, owners, or senior operational leadership
  • Familiarity with behavioral health EMRs such as KIPU or similar platforms
  • Knowledge of admissions, VOBs, utilization review, billing, revenue cycle, or treatment-center operations
  • Experience coordinating hiring, interviewing, and employee onboarding
  • Experience working with EMRs, CRMs, billing platforms, or healthcare reporting systems
  • Experience within a rapidly growing or multi-location behavioral healthcare organization

This is a full-time, high-responsibility position. The organization is experiencing significant growth, and flexibility may occasionally be required during critical projects, deadlines, or organizational initiatives, including limited evening or weekend availability when necessary.
