How does a subcontractor project manager typically coordinate with general contractors and other subcontractors on large projects?

Job description

Sacred Oak Homes
Project Manager Assistant

Company Overview

Sacred Oak Homes has been building and remodeling homes and businesses throughout the Berkshires and surrounding areas since 1990. Over the years, we have built strong relationships with skilled local artisans, craftspeople, and suppliers, allowing us to deliver high-quality work and exceptional service.

We cultivate a collaborative, mindful work environment and believe that clear, open communication is the foundation of successful projects. From architects and clients to subcontractors and suppliers, we work as one team to realize each client's building goals with care, craftsmanship, and professionalism.

The Opportunity

As a Project Manager Assistant, you will work closely with the Project Manager and field team to keep residential construction and remodeling projects organized, on schedule, and running smoothly. You will have a front-row view of how projects are planned, coordinated, and delivered from pre-construction through final punch list.

This role is designed for someone with construction experience who is highly organized, detail-oriented, and eager to grow into a larger project management role. You will build your skills in scheduling, documentation, communication, and job-site coordination while contributing directly to the success of each project.

What You'll Do
  • Coordinate day-to-day activities on residential construction and remodeling projects from pre-construction through completion in partnership with the Project Manager.
  • Support the scheduling of subcontractors, material deliveries, inspections, and project milestones to keep work moving on time.
  • Track project progress against schedule and scope, helping flag issues early and keep the team aligned on priorities.
  • Maintain organized project documentation, including plans, change orders, purchase orders, and job-related records.
  • Communicate clearly with clients, architects, subcontractors, vendors, and internal team members as directed to share updates, next steps, and decisions.
What Success Looks Like
  • Within the first 612 months, you consistently keep project information, documentation, and schedules accurate, current, and easy for the team to access.
  • Subcontractors, suppliers, and inspectors are reliably scheduled and coordinated, resulting in fewer delays and smoother project flow.
  • Project issues are identified early through your review of plans, schedules, and site conditions, and you help the team address them before they impact quality or timing.
  • Clients and team members view you as a reliable point of contact who communicates clearly, follows through on commitments, and contributes to well-organized, professional job sites.
What We're Looking For
  • Experience in residential construction, remodeling, or project coordination, with a basic understanding of construction documents and project flow.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
  • Clear communication and interpersonal skills, with the ability to work effectively with clients, trades, and internal team members.
  • Comfort with computers and a willingness to learn project management software, along with a high level of integrity, professionalism, and eagerness to grow within the company.
Compensation and Benefits
  • 401(k) with up to 4% company match after 1 year and 1,000 hours of service
  • (7) Paid holidays
  • Paid Time Off after 1 year
  • Tool allowance of $750 per year available after 6 months
