Participant Recruitment & Study Startup Manager

ClariMed is seeking a Participant Recruitment & Study Startup Manager to oversee participant recruitment and study startup activities for our human factors research studies. This role is responsible for ensuring studies are operationally prepared, participant recruitment goals are achieved, and study timelines stay on track from planning through study launch.

This position is focused on recruiting participants for research studies and is not an employee recruiting, talent acquisition, or staffing role.

The Participant Recruitment & Study Startup Manager will serve as a key operational leader, partnering closely with project managers, teams, and clients to ensure studies are successfully planned, staffed with qualified participants, and executed on schedule. This individual will oversee the participant recruitment function, provide leadership to the recruitment team, and continuously improve recruitment strategies, study startup processes, and operational efficiency.

This is an on-site position based in Chadds Ford, Pennsylvania.

Participant Recruitment
  • Lead participant recruitment efforts across multiple concurrent human factors research studies.
  • Develop recruitment strategies based on study objectives, participant profiles, timelines, and enrollment goals.
  • Oversee participant sourcing, outreach, pre-screening, scheduling, and enrollment.
  • Ensure recruitment goals are met while maintaining a positive participant experience.
  • Monitor recruitment metrics and adjust strategies to address enrollment challenges.
  • Build and maintain relationships with participant databases, community organizations, recruitment partners, and other sourcing channels.
  • Ensure participant records are accurate, organized, and maintained in accordance with company procedures and applicable privacy requirements.
  • Identify opportunities to improve recruitment processes, tools, and participant engagement.
Study Startup
  • Partner with project leads and teams during study startup to understand study requirements and operational needs.
  • Develop recruitment timelines and startup plans to support successful study execution.
  • Coordinate participant recruitment activities with overall study schedules.
  • Ensure recruitment readiness before study launch.
  • Identify operational risks and proactively recommend solutions to keep studies on schedule.
  • Collaborate across departments to ensure smooth communication and execution throughout the startup process.
Leadership & Team Management
  • Provide day-to-day leadership, coaching, and support to participant recruitment team members.
  • Prioritize workload across multiple studies and allocate recruitment resources effectively.
  • Establish performance expectations and provide ongoing coaching and feedback.
  • Assist with hiring, onboarding, and training new recruitment team members.
  • Foster a collaborative, positive, and accountable team environment.
  • Develop standardized recruitment processes and best practices to support future growth.
  • Recommend improvements to staffing, workflows, systems, and operational efficiency.
General Responsibilities
  • Work closely with project leads, teams, clients, and other internal stakeholders throughout the study lifecycle.
  • Maintain a high level of organization while managing multiple priorities in a fast-paced environment.
  • Prepare recruitment updates and communicate study progress to internal teams.
  • Support continuous improvement initiatives that enhance study startup, participant recruitment, and operational effectiveness.
  • Perform other related duties as assigned.
Qualifications
  • Experience in participant recruitment, human factors research, clinical research, market research, research operations, study coordination, or a related field.
  • Previous leadership or management experience preferred.
  • Experience managing multiple projects, priorities, and deadlines simultaneously.
  • Strong organizational, planning, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to build relationships with participants, clients, and internal teams.
  • Ability to think strategically while remaining hands-on in day-to-day operations.
  • Experience developing recruitment strategies for diverse participant populations.
  • Comfortable working in a collaborative, fast-paced environment with changing priorities.
  • Experience with participant databases, CRM systems, scheduling platforms, or research management software is a plus.
