Job description

The Administrative Assistant plays a key supportive role by providing support to managers, other employees, and varying office visitors by handling a variety of tasks. The Administrative Assistant must be professional, positive, self-starter, organized, and accurate. This position may include front desk activities, ordering office supplies, scheduling meetings/events, data entry and maintaining files.

Duties and Responsibilities include the following:

  1. Answering phones in a professional and effective manner
  2. Heavy data entry: time cards, field reports, labels, etc.
  3. Organize project documentation
  4. Create and maintain Excel spreadsheets
  5. Provide superior customer service to both internal and external customers
  6. Event planning
  7. Coordinating/scheduling project meetings, and preparing meeting agendas
  8. Tracking calendars
  9. Assisting with purchasing office supplies
  10. Prepare and track electrical permits
  11. Provide general administrative support to our project teams
  12. Assisting with basic PC duties (small lump sum billings, permits, reconcile permit accounts, data entry, admin. tasks)
  13. Provides front desk relief and/or additional administrative support to others to help meet business and staffing needs
  14. Prepares routine correspondence (letters, memos, meeting notes)

Requirements

High school diploma or equivalent required; associate degree in business administration or related field preferred.

Experience in office administration, business communication, or customer service strongly beneficial.

Proficiency with Microsoft Office Suite (Excel, Word, Outlook)

Education or training in data entry, recordkeeping, or document management systems preferred.

Attention to detail.

Salary range for this position is $45,000-$55,000 annually. 

Opportunity for a discretionary year-end bonus.
