Job Description:

Position Summary

Under the direction of the Director of Student Accounts, the Student Accounts Technical Assistant will be responsible for helping with the day-to-day tasks of the Student Accounts Team while they are working on a large-scale Student Information Systems (SIS) move to Workday. The Student Accounts Technical Assistant will take on the functional tasks of others in the office while striving to maintain best practice guidelines in terms of technology and effectiveness and ensures service provided meets the College's standard of excellence. The need for flexibility and a willingness to learn new tasks is a crucial part for a successful candidate as they will be covering a wide range of tasks to assist while others are part of meetings for the Workday implementation.

This is a full-time, non-exempt, fixed term position ending on June 30, 2028.

Responsibilities:

Accounts Receivables

  • Primary point of contact for answering billing inquiries from parents and students regarding their account

  • Assists in the communications with parents and students via e-mail, telephone and in person on questions regarding specific charges and account activity. Counsels parents and students regarding payment options.

  • Assists in the removal of Student Account holds once accounts are cleared

  • Regularly enters cash receipts for mailed student payments

  • Assist with End of Day transactions

  • Daily run of electronic Payment Plan files

  • Assists with electronic notification files through Google

  • Assist with posting departmental charges

  • Prepares account reciliations for weekly review

  • Assist with Ad-Hoc Bank transaction entries

  • Reviews daily cashiering entries both electronic and mailed payments

  • Adjusts payment plans for late enrollments and under/over contracted amounts

  • Assist with student invoicing as needed

Workday Transition Responsibilities

  • Assist with drafting Staff Job Aids and drafting Standard Operating Procedures for Student Accounts

  • Maintain questions and answers for Workday Student Financial go-live

  • Prepare website updates in removing outdated information and drafting new materials

  • Assist with legacy data cleanup and auditing student data before data migration

  • Participate in go-live preparation activities for Student Financials

Cross Training and Backup

  • Other related duties as assigned.

  • Availability to step in and pivot to new tasks as priorities rapidly change due to volume and need throughout the year and assist others daily.

  • Gain knowledge of the Financial Aid Office and other related offices to be able to assist in troubleshooting student questions.

  • Learn to run standardized reports related to regular tasks and to be able to assist others within the team with daily work.

  • Assist with any data entry tasks as needed or assigned.

Education and Experience

Associate degree in a business-related or customer services related field plus two or more years of relevant experience. Equivalent combination of education and experience may be considered.

Knowledge, Skills, Abilities

  • demonstrated proficiency in the use of desktop software and spreadsheet applications.

  • Knowledge of AI applications or ability to learn applications and tools to enhance their day to day operations.

  • Detail oriented, with the ability to multi-task, possess a strong customer service orientation.

Compensation Range:

$20.00 - $23.00 per hour
