Job Summary:
The Admissions Analyst reports to the Registrar and provides administrative and operational support for the Admissions Office by processing student applications, maintaining accurate student records, entering and verifying data, and assisting with enrollment-related activities. This position requires strong attention to detail, accuracy, confidentiality, and the ability to manage routine tasks while meeting established deadlines.
The Admissions Analyst supports the student admissions process by ensuring information is accurately entered, reviewed, and maintained within institutional systems while providing excellent customer service to prospective and current students. This position is governed by state and federal laws and institution policy.
Salary: Annual salary of $25,810. Plus, excellent benefit package.
Supervisory Responsibilities:
Limited oversight of Student Services front counter student workers
Duties and Responsibilities:
  • Enter, update, and maintain student demographic, academic, and admissions information in institutional databases and systems.
  • Verify accuracy of submitted documentation and follow up on missing or incomplete information.
  • Perform data entry related to admissions records, transcripts, test scores, residency information, and student status updates.
  • Maintain electronic and paper student files according to institutional procedures and confidentiality requirements.
  • Assist with scanning and indexing student paperwork into the student's virtual file as needed.
  • Assist with preparing reports, tracking enrollment data, and maintaining admissions records.
  • Monitor application workflows and assist with moving students through the admissions process.
  • Respond to routine questions from students, parents, staff, and campus partners regarding admissions requirements and processes.
  • Assist with communications to applicants regarding missing documents, next steps, and enrollment requirements.
  • Maintain knowledge of admissions policies, procedures, and institutional requirements.
  • Perform quality checks to identify data errors and ensure accuracy of student records.
  • Process out official transcript requests electronically and via mail.
  • Serve as the main point of contact for all admissions phone calls and emails
  • Assists with registrar's office emails and phone calls as needed
  • Assists with operations of the Student Affairs front counter
  • Work closely with recruitment, advising, financial aid, and registrar staff
  • Ensure compliance with FERPA, state regulations, and institutional policies
  • Maintain confidentiality and security of student records
  • Ensure a positive, student-centered experience throughout the admissions process
  • Support outreach efforts by developing communication templates and messaging for prospective students
  • Assist with special projects and other duties as assigned.

Skills and Abilities:
  • Strong attention to detail and accuracy in data entry and recordkeeping.
  • Ability to organize and prioritize multiple tasks.
  • Ability to maintain confidentiality of student information.
  • Proficiency with computers, Microsoft Office applications, and database systems.
  • Ability to learn and effectively use student information systems.

Required Education and Experience:
  • Associate degree from an accredited institution required.
  • One year of administrative, clerical, customer service, or data entry experience preferred.
  • Experience working in a higher education environment preferred.

Preferred Education and Experience:
  • Associate degree in related field.
  • Three years of higher education admissions experience or related area.

Physical Requirements:
  • Ability to sit for extended periods while performing computer and administrative duties.
  • Ability to communicate effectively in person, by phone, and electronically.
  • Ability to occasionally assist with campus events and student activities.
  • Ability to occasionally lift up to 20 lbs.
