Job Summary:

Under direct supervision of the Director. Being a member of California State University, San Bernardino's (CSUSB) Student Orientation Lead, Student Assistant position is an honor and a rewarding opportunity for your personal and professional growth. New Student Orientation and Family Programs select dedicated student leaders to assist the Orientation Leader team and assist in the planning and implementation of our First Year, Transfer, and Parent and Family Orientation programs.

Student Orientation Leads (SOLs) serve as student leaders, peer mentors and educators, CSUSB resource specialists, and role models to the entire Orientation Leader team. They are instrumental in the successful transition of our newly admitted first-year, transfer students and their families into the CSUSB community.

Student Orientation Leads work under the lead work direction of New Student Orientation and Family Programs staff, led by the Senior Program Coordinator for Orientation. As a SOL, you are responsible for reading and understanding the Student Orientation Lead position description and abiding by all terms specified.

Responsibilities:

Under direct supervision, duties include but not limited to:
Orientation Program Planning, Implementation & Operations
- Support the planning and delivery of mandatory First Year and Transfer Orientation programs and related transition activities, including summer and fall programming.
- Support registration and check-in by preparing materials, organizing stations and participant flow, assigning Orientation Leaders to roles, and resolving registration or assignment concerns in real time.
- Assist in coordinating setup, breakdown, signage, room readiness, A/V checks, supply movement, and other production/logistics needs; direct Production Crew members and adjust assignments as program needs change.
- Serve as an on-site point of contact for students, families, guests, Orientation Leaders, and campus partners; provide accurate information, courteous service, and timely problem resolution.
- Participate fully in all required orientation sessions, trainings, retreats, meetings, and related events.

Orientation Leader Training and Development
- Assist professional staff with the design and facilitation of Orientation Leader training, including learning objectives, presentations, handouts, icebreakers, team-building activities, role practice, and resource education.
- Assist in planning and support Orientation Leader retreat activities focused on leadership development, community-building, team expectations, and alignment with orientation goals.
- Assist in coaching, feedback, and performance observations to Orientation Leaders; elevate significant concerns to professional staff.
- Model and reinforce professionalism, inclusive leadership, customer service, punctuality, accountability, teamwork, and appropriate use of university information and resources.
- Assist in facilitating team-development opportunities and informal check-ins that strengthen cohesion and professional growth.

Orientation Leader Recruitment & Selection
- Support Orientation Leader recruitment to attract a diverse and dynamic applicant pool.
- Support tabling strategies, promotional materials, outreach schedules, and track engagement and adjust approaches as needed.
- Assist in designing Orientation Leader information sessions, prepare speaking notes and session guides, and communicate role expectations, benefits, and application requirements.
- Develop and coordinate social media and other promotional outreach in alignment with recruitment milestones.
- Participate in Orientation Leader Meet and Greets and support interviews, applicant evaluation, and selection activities as assigned.

New Student Outreach & Calling Campaign
- Organize the New Student Calling Campaign to build early connections with incoming students and provide helpful pre-orientation information.
- Create and maintain Orientation Leader caller schedules and SOL office-manager rotations; communicate expectations, reminders, and coverage needs.
- Assist in developing caller training on scripts, call etiquette, frequently asked questions, FERPA guidance, data privacy, referrals, and responding to student concerns.
- Track call outcomes, document follow-up needs, and coordinate supportive handoffs with campus partners such as advising, housing, and financial aid.
- Assess campaign completion, engagement, and feedback and summarize successes, challenges, and recommendations for improvement.

Parent & Family Orientation Support
- Partner with the Parent and Family Coordinator to prepare agendas, logistics, spaces, materials, presentations, nametags, check-in processes, and feedback tools for Parent and Family Orientation.
- Support family check-in and onsite registration, including walk-up registration, material distribution, directions, and issue resolution.
- Assist with English- and Spanish-language programming as needed, including translated materials, staffing coordination, and culturally responsive logistical support.
- Support parent and family campus tours and prepare Orientation Leaders to deliver inclusive, accessible, and informative tours.
- Recruit and prepare Orientation Leaders for student-storytelling opportunities such as Coyote Stories.

Program Engagement, Assessment & Administrative Support
- Lead or support key programmatic elements such as trivia, the campus resource fair, student storytelling, and emcee/hosting responsibilities.
- Prepare scripts, transitions, slides, facilitator materials, participant communications, partner reminders, table assignments, and other resources needed for successful program delivery.
- Collect participation, outreach, and feedback data; use assessment information to recommend improvements to recruitment, training, calling, and orientation experiences.
- Maintain accurate schedules, records, shared resources, and project documentation; complete assigned office hours and administrative tasks.
- Collaborate with professional staff, campus departments, presenters, and student leaders to coordinate resources and support student success and belonging.
- Operate and develop proficiency in the PeopleSoft and CampusESP systems to support student and family orientation registration, including account setup, scheduling, troubleshooting, and registration-related solutions.

Other Related Duties as Assigned
- Perform other duties consistent with the Student Orientation Coordinator role and the operational needs of New Student Orientation and Family Programs.

Minimum Qualifications:

• Ability to learn and perform assigned work; follow oral instructions; work cooperatively with faculty, staff, and other students; communicate effectively with all levels; and read and write English at a level appropriate to the position.

• Special Qualification: Admission or registration as a CSU student.

Required Qualifications:

• Maintain a 2.0 G.P.A. or greater per semester and cumulative.
• Students must be enrolled in at least halftime units at CSUSB (6 units undergraduate; 3 units graduate)
• International students must have full-time enrollment at CSUSB. (12 units undergraduate; 6 units graduate)
• Eligible to work in the United States
• Payroll Requirement: Social Security Card

Preferred Qualifications: 

At least one (1) year of previous orientation experience at CSUSB.
Maintain a semester and cumulative GPA of 2.7 throughout the term of the position.
Demonstrate a desire to learn about CSUSB, its regulations, its people, and its programs, and to share the information with others.
Possess the following role model qualities: maturity, responsibility, initiative, motivation, flexibility, enthusiasm, integrity, and a good work ethic.
Be an undergraduate, degree-seeking student at CSUSB; must maintain satisfactory academic progress towards degree completion.
Uphold all aspects of CSUSB's Student Conduct Code and be free of disciplinary sanctions.
Exhibit commitment to the vision and mission of New Student Orientation and Family Programs.
Must be a returning student to CSUSB in Fall 2027.
Must be a returning student to CSUSB in Fall 2027.
Be available for the full appointment period and participate in all required Orientation activities, including recruitment, training, retreats, First Year Orientation, Transfer Orientation, and Parent and Family Orientation.
Complete all required CSU and CSUSB training by established deadlines, including CSU Defensive Driving training before operating a golf cart for program purposes.

Special Conditions: 

A. Length of Position
The Student Orientation Lead position requires a student to commit to a 15-month agreement. The position begins fall semester 2026 and concludes at the end of the fall semester 2027, with the majority of the workload occurring over the spring semester and through the summer months.

B. Summer Courses
Due to the demanding summer orientation schedule, Student Orientation Leads are encouraged NOT to take academic classes during either summer session.
Online summer classes may be allowable if they do not interfere with any position responsibilities and will be considered on a case-by-case basis.
SOLs will need to communicate and work with their supervisor(s) to determine if summer courses are manageable and appropriate given the responsibilities of the position.

C. Additional / Outside Employment
Student Orientation Leads are allowed to have other employment while they are concurrently employed as a SOL.
Given the SOL duties and responsibilities, we encourage that there be no conflicting employment during the length of the SOL position.
Note: During the academic year (fall/ spring semesters), students employed in multiple on-campus positions may work a maximum of 20 hours per week combined across all positions.

D. Absences and Tardiness
During all orientation sessions, training, retreats, and meetings, SOLs will be expected to be on time and available for the entire time scheduled.
SOLs are requested to notify the Orientation professional staff of absences no less than two weeks in advance, in writing via email.
Time off is limited and excused on an emergency basis only or for special circumstances.
Excessive unexcused tardiness and absences will result in verbal and written communication and action plans. Continued absences may result in termination of the SOL position.

E. Conduct
All SOLs must abide by all University Policies as stated in the Student Code of Conduct.
Professionalism is to be maintained at all times; SOLs are student leaders who represent not only New Student Orientation and Family Programs, but CSUSB as a whole, even when not working orientation sessions.
Confidentiality is critical, especially regarding team management, personnel information, decisions, and access to student records. SOLs will have access to confidential or privileged information, which must be kept confidential during and after employment. Unauthorized disclosure may result in disciplinary action, including termination.
Alcohol and illegal substances are not to be consumed during any orientation-related activities and must follow university housing policies while living on campus
Relationships between SOLs and orientation participants are prohibited if they involve dating or attending social events with alcohol.
Relationships between fellow team members are strongly discouraged, with prior relationships reviewed on a case-by-case basis.
Any SOL may be subject to disciplinary action by New Student Orientation and Family Programs, Student Conduct and Ethical Development, or the University, and can be removed from the Student Orientation Lead position.

F. Special Conditions
Special conditions of the position include:
Working long hours that begin early in the morning and that end late at night.
Exposed to outdoor conditions (cold, heat, wind) for brief periods;
May require heavy lifting and physical work in the transportation of orientation materials, supplies, and set-up/tear-down.
Complete all required CSU and CSUSB trainings on time.
Complete CSU Defensive Driving training to operate the golf cart to transport orientation participants or supplies throughout orientation programming.

Compensation and Benefits:

Student Employment Anticipated Hiring Range: $16.90 per hour.

The compensation offered will consider internal equity and experience among other factors.

Position Information:

Work status: Part-Time, Temporary, Seasonal

Academic year available hours: Monday through Friday (8:00 am - 5:00 pm).

Summer available hours: Monday through Thursday (7:00 am - 5:30 pm).
