QUALIFICATIONS:
Minimum associate degree in accounting or related field. Preferred bachelor's degree or two years of experience managing fiscal duties. Experience working in educational setting preferred. Strong organizational, communication, and problem-solving skills, with a collaborative and interpersonal approach to working with others. Proficient use of web-based technology applications. Strong desire to serve and support colleagues.
JOB SUMMARY:
Responsible for monitoring and managing fiscal processes, including but not limited to: purchase orders, in-kind and inventory. Responsible for maintaining educational systems such as licensing compliance, professional development, and record keeping. Performs administrative support duties for multiple administrators within a collaborative work environment.
ESSENTIAL FUNCTIONS:
  1. Build and maintain strong interpersonal relationships with customers and colleagues.
  2. Provide day-to-day operational support, including preparation of communications, coordination of materials and orders, and assistance- to staff and leadership.
  3. Maintain strict confidentiality of all program, child, family, and personnel information in accordance with Head Start Performance Standards, applicable federal and state regulations, and agency policies. Ensure secure handling, storage, and sharing of sensitive information in all formats, including electronic systems and written documentation.
  4. Proficient use of all Microsoft Office applications, with demonstrated expertise with Word, Excel, PowerPoint, Outlook, and SharePoint.
  5. Create the required financial reports needed for Policy Council and Governing Board meetings. Collect reports from other departments to create packets for Policy Council and Governing Board.
  6. Collect and analyze data for the children transitioning to kindergarten through the third grade.
  7. Process local mileage for all Head Start and Early Head Start staff.
  8. Manage and maintain accurate budgets (creating purchase orders, maintaining accurate balance sheets, and submitting invoices for payment).
  9. Collect and analyze non-federal match data and submit reports to the treasurer's office, the director and coordinators in a timely manner.
  10. Collect and update all non-federal match amounts from current appraisals of donated space for classrooms in the appropriate spreadsheets.
  11. Assist with grant applications when needed.
  12. Assist in annually tracking agency inventory including tagging supplies and equipment.
  13. Assist in updating fiscal and education policies and procedures.
  14. Perform other duties as assigned to assist in providing services to the program.
  15. Support compliance efforts by collecting and analyzing employee requirements in alignment with Ohio Preschool Rules, Head Start Performance Standards, and HCESC policies.
  16. Must have a current driver's license, reliable transportation and willingness to perform travel between locations at supervisor request.
