Description
The part-time Athletics Special Events Coordinator assists with the planning, coordination, and execution of athletic fundraising, donor engagement, hospitality, and special events. This position supports the External Affairs team by helping create exceptional experiences for donors, alumni, sponsors, and athletics supporters while ensuring events are organized and professionally executed.
Job Duties
  • Assist with the planning and execution of athletics fundraising events, including golf tournaments, hall of fame celebrations, donor receptions, and special athletic department functions.
  • Coordinate event logistics, including venue preparation, registration, signage, catering, audiovisual needs, and event materials.
  • Support donor hospitality efforts during athletic events and special functions.
  • Assist with vendor communication and coordination, including restaurants, caterers, hotels, and event service providers.
  • Maintain event calendars, registration lists, and guest databases.
  • Recruit, train, and supervise student workers and volunteers assigned to events.
  • Provide game-day and event-day operational support, including setup and breakdown of equipment and hospitality spaces.
  • Collaborate with athletics development, marketing, ticketing, and corporate sponsorship staff to support departmental goals.
  • Assist with tracking event expenses and maintaining budget records.
  • Support stewardship activities and donor engagement initiatives as assigned.
  • Deliver high-quality event experiences that enhance donor, sponsor, and fan engagement.
  • Provide outstanding customer service to all constituents.
  • Ensure events are executed efficiently, professionally, and within budget.
  • Support the overall fundraising and external affairs goals of the athletics department.
  • Perform other duties as assigned by the Executive Associate Athletics Director for External Affairs.

Qualifications
  • High school diploma required
  • Strong organizational and time-management skills.
  • Excellent interpersonal and communication skills.
  • Ability to manage multiple projects and priorities simultaneously.
  • Ability to work independently and as part of a team.
  • Proficiency with Microsoft Office applications.
  • Current, valid driver's license.
  • Ability to stand and walk for extended periods during events.
  • Ability to lift and carry up to 25 pounds.
  • Ability to set up and break down event materials and hospitality areas.
  • Availability to work nights, weekends, and occasional holidays.
  • Ability to travel locally as needed for events.

Preferred Qualifications
  • Bachelor's degree
  • Experience in event planning, hospitality, athletics administration, customer service, fundraising, or a related field.
  • Experience working in collegiate athletics, higher education, nonprofit organizations, or special events
  • Experience with donor management software, event registration platforms, or CRM systems.
  • Knowledge of NCAA rules and regulations as they relate to event operations.
