Job Summary
Purdue University's College of Agriculture is seeking an individual to provide high-level support in the Dean's Office. In this role, you will lead daily operations in Dean's office and serve as a recognized specialist within this area. The role functions as a team lead for key initiatives, including the New Faculty Tour, Agenda & Policy, College of Agricultural Awards while also coordinating special events. You will provide guidance and communicate with high-level internal and external stakeholders, serve as backup to the Executive Assistant to the Dean and manage reservations, policies and upkeep of Dean's Office meeting rooms in multiple facilities. In addition, you will reconcile travel for the Dean in Concur, oversee project budgets, and order office supplies.
What You'll Be Doing:
  • Performing non-routine administrative functions; conducting research, preparing reports and presentations, responding to information requests, and managing correspondence
  • Maintaining calendars, scheduling complex meetings, preparing agendas, and collecting and providing support materials
  • Responding to non-routine inquiries and issues from internal and external sources; drafting and editing correspondence
  • Developing, implementing, and maintaining/improving processes related to administrative support operations (e.g., records maintenance, data collection and maintenance, etc.) to ensure compliance with University policies and procedures
  • Coordinating the logistics of various programs, projects, workshops, events, and presentations
  • Updating and maintaining mailing lists, databases and websites
  • Supervising, mentoring and training other support staff
  • May monitor operating budget and maintain financial records

What We're Looking For:
  • High school diploma/GED
  • 4 years of experience in an administrative support role
  • Strong problem-solving skills, sound judgement and the ability to manage multiple priorities effectively
  • Excellent written, verbal and interpersonal communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills and attention to detail
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes
  • Ability to identify problems and implement or recommend solutions
  • Drafting, proofreading and editing skills
  • Ability to lead others and provide direction and constructive feedback
